The System Configuration Settings allows you to set variables that determine how IQ operates in your office. Only users who have been granted access to Security Lock #107 can change your IQ system configuration. The Edit Web Part Configurations action allows you to set defaults for the My IQ page for your office.
To access the System Configuration Settings:
Click the Admin module tab and select the System submenu link.
Select the Open Sections action to open all of the sections or click the + icon to open a specific section.
Make changes to the appropriate configuration settings. (See below for a description of each setting.)
Click Save to save your changes.
Note: You can view the history of changes made to the system configuration settings by selecting the View Change History action.
This section defines the location of the IQ Online Help for standard and limited use users, the word processor in use and the display mode for codes and other selection dialog boxes.
Enter the URL for your IQ server in the format http://<server name>:800/iq. This URL is used when sending information copies from a workflow record and when IQ forwards alerts.
Enter the URL for your IQ server in the format http://<server name>:800/iq. This URL is used by IMA to access the Address Checker web service.
The value entered in this field is used to auto-populate the "Office Name" field in the IQ4UI Help Chat dialog. Note: The user can change the Office Name in the Help Chat dialog, if they don't want to use the valued entered here.
If your office will only be using the IQ3 User Interface and will not be using the IQ4 User Interface, then select Yes for this Setting. When Yes is selected, users will be presented with the My IQ Home Page and the IQ4 link will be hidden in the IQ3 User Interface. When No is selected, users will be redirected to the IQ4 User Interface for the following features: Newsletter Wizard, eForms (Builder and Lists Results), eSurvey (Builder and Lists Results), Image Manager, Codes, Legislative and Boards.
This field allows you to control the maximum number of active IQ users. Once the maximum number is reached, no new users can be added and existing suspended users can not be made active. This feature is not enabled until a valid value is entered into the field. After that, the only change that can be made is entering another valid value. You cannot clear this field after you have successfully entered a valid value. The format of the value for this field is AAAA BBBBBB where AAAA is the number of users and BBBBBB is the authorization code. The authorization code is derived from a checksum formula. Contact your IT Consultant for a list of valid codes.
This field allows your office to designate the primary destination location for archived Mail and Workflow records as well as Documents and Form Letters. The recommended location is \\<server>\asp\archive. A folder for the IQ account is created in the primary location when the first record is archived.
This field allows your office to designate the secondary destination locations for archived Mail and Workflow records as well as Documents and Form Letters. You may enter multiple paths, each on a separate line.
This field allows you to control the maximum file size for attachments in IQ. Click in this field and select a value between 5MB and 100MB.
By default, there is no limit to the allowed size limit of a report. Use this setting to select a size limit for uncompressed report files when a report is run in the foreground. Any report output which exceeds this size limit will be compressed and the user will be presented instructions and a link to the report output. Note: This setting does not apply for programmed (asp) reports.

This setting is used to limit the number of rows that appear on HTML and Criteria Screen Builder (CSB) reports. The default value is blank and will allow reports to run until completed. When a number is entered for this setting, reports will be limited to the number of rows entered in this field. If the number of rows returned by the report criteria is greater than the number entered in this field, a message will appear asking the user to adjust the criteria of the report.
This setting can be used to set the maximum number of seconds for an Analyze Selected Records to run. By default, the maximum is 240 seconds. If the Analyze takes longer than 240 seconds to complete, IQ will display a dialog to indicate this. You can then increase the number of seconds in this setting, up to 900 seconds.
This setting can be used to set the maximum number of cells for an Analyze Selected Records to create. By default, the maximum is 20000 cells. If the Analyze returns more than 20000 cells, IQ will display a dialog to indicate this. You can then increase the number of cells in this setting, up to 60000 cells.
Use this setting to enforce a maximum number of records displayed per page for all IQ users. If a user selects a number of records per page that is less than the number entered in this field, then the number of records per page will NOT change for that user. If, however, a user selects a number of records per page that is greater than this, then IQ will reset that user's records per page to the number entered in this setting.
By default, IQ will not display a message at login when Active Scripting is not turned on in the IE browser. If you would like IQ to display a warning message when users log into IQ that Active Scripting is not turned on in IE, then select Report. Note: This setting only applies when using Microsoft's IE browser with IQ. If using another browser, such as Mozzilla Firefox, with IQ, this setting does not apply, because Firefox does not support Active Scripting.
This option allows you to control the default grid type, Paging or Scrolling, that each IQ user will see when they view the Mail or Workflow Search Results. If you select Default to the Paging Grid or Default to the Scrolling Grid, users will have the option to switch between the grid types for the Mail or Workflow Search Results. The Switch Grid Type action is not available if Only allow the Scrolling Grid is selected in this field.
This setting can be used to enter the URL (i.e. https://www.intranetquorum.com/contact ) which is displayed as "IQ Marketplace" under the Shortcuts menu in the IQ4 user interface. Leave this field empty and the "IQ Markletplace" option will not appear under the Shortcuts menu.
This setting controls the focus of the type-ahead text searches in the IQ4 Big Menu. When No is selected, focus is placed in the search fields, so users can type without having to first mouse click into the field. When this is set to Yes, users must click into the search field before they can begin typing their search text.
This setting allows you to control the number of spaces inserted by the TAB key when indenting paragraphs in the HTML Editor in the IQ4 User Interface Message and Library record pages.
Select Yes if you would like users (in the IQ4 user interface) to be able to engage in live chat support with Leidos Customer Service. Note: If you want to prevent certain users from not being able to launch Help Chat, then grant access to Security Lock #339 for those users.
Enter https://chat.lmhostediq.com/iqchat/CuteSoft_Client/CuteChat/Support-Image-Button.js.aspx and select Yes in the Help Chat setting to display the Help Chat Online icon to the left of the History icon above the Big Menu in the IQ4 user interface.
Copy and paste one of the sample SQLs into this field if you would like the Birthdate (first SQL) or the Birthdate and Affiliation Code (second SQL) to be displayed in the Contact data that is returned when attaching a Contact to a Service record in the IQ4 user interface. Leave this field empty if you do not want the additional data to be displayed.
If your office has purchased IQ Connect, this parameter is set to Yes. When this is set to No, the Image icon is not available in the tool bar in the HTML editor in the Mail Record or Form Letter Record pages.
Enter the url of the web site (in the format http://IQExtranetServer/IQExtranet) that you will use to store your e-surveys and graphic images for IQ Connect.
When you purchase IQ Connect, you will be given a customer ID and password, which allows your IQ system to communicate with the extranet web site.

This setting allows you to control whether or not the Twitter icon is included in published enewsletters. Select Yes if you would like IQ to display the Twitter icon in the upper left hand corner of published enewsletters. Select No to not include the Twitter icon. Note that the Facebook icon will still be included regardless of what is selected here.
This setting allows you to control whether or not the hyperlinks entered into an eNewsletter will be track when the recipient of the newsletter clicks the hyperlink. The default is Yes for this setting, which means hyperlinks entered into an eNewseltter will contain the click-tracking through the IQ Connect site. Select No if you do not want hyperlinks to be tracked in your eNewsletters.
This defaults to "Click here to open this e-mail in its own browser window", which IQ places as a hyperlink at the top of enewsletters. To replace the default hyperlink text, enter your own text here. In addition, you can change the location of the hyperlink by selecting the merge code [[$$$WINDOW_OPEN_LINK$$$]] in the e-mail format. If you do not want to include a hyperlink in the enewsletter, then leave this field empty.
This field defaults to "Click here to open a plain text version of this email" which IQ places as a hyperlink at the top of enewsletters.. To replace the default hyperlink text, enter your own text here. In addition, you can change the location of the hyperlink by selecting the merge code [[$$$TEXT_OPEN_LINK$$$]] in the e-mail format. If you do not want to include a hyperlink in the enewsletter, then leave this field empty.
This section allows you to define the default URLs for office specific buttons and social networking buttons, as well as the unsubscribe link located in the eNewsletter Templates which are provided with IQ. Once you have completed these settings, with your office specific information, you can then use the sample eNewsletter Templates as a starting point to create default eNewsletter formats for your office.
You may define the text and URLs for up to five buttons which are located at the top of the sample eNewsletter templates provided with IQ.
These settings automatically default to URL for each of the social networking websites for Facebook, Twitter, YouTube and Flickr. If you have an office specific page for any of these social networking sites, you can enter it in the appropriate field.
If your office has created an eSurvey or eForm in IQ for the unsubscribe of eNewsletters, then click in the Unsubscribe eSurvey/eForm field and select the esurvey or eform from the list. If you have not created an eSurvey or eForm in IQ, then you can enter the URL for the location of your unsubcribe website in the Unsubscribe URL field.
This is the location of the online help for the IQ3 user interface for standard IQ users and is accessed whenever a user clicks the Help link. This field is automatically populated with the path of the online help for the installed version of Intranet Quorum http://iq-help.intranetquorum.com/IQ4.0a_IQ3UI/iq.htm.
This is the location of the online help for the IQ4 user interface for standard IQ users and is accessed whenever a user clicks the Help link. This field defaults to http://iq-help.intranetquorum.com/IQ4.1/Help which includes all of the IQ4 modules. Enter http://iq-help.intranetquorum.com/IQ4.1/Help_FSL in this field for the Federal State and Local (FSL) version, which does not include the LegiStats module.
This field defaults to http://iq-help.intranetquorum.com/IQ_3_Section508 and is used when Section 508 IQ users click the Help link, they will access the online help in a Section 508 compliant format.
If your office has purchased Limited Use License, then enter the URL http://iq-help.intranetquorum.com/IQ3.8c.limited.use/iq.htm in this field for the location of the online help for Limited Use IQ users.
Enter the path of the location of System Administrator Checklist. The checklist is presented to the checklist user on the System Warnings page based on the selected checklist interval.
Click in this field and select the IQ user who is responsible for completing the System Administrator Checklist. If no user is selected then all users with Admin access will receive the checklist. Note: If the selected user(s) does not complete the System Administrator Checklist within 30 days, then all users with Admin access will receive the checklist on the System Warnings page.
Click in this field and select the number of days before IQ should notify the selected user about completing the System Administrator Checklist. Select the option Never if you do not need to complete a System Administrator Checklist for your IQ system on a monthly or quarterly basis.
This field allows you to select which type of Word Processor (Microsoft Word or ASPOSE) to use when creating letters and documents in IQ. Select XML (Word 2003) if you would like to use Microsoft Word. Select DOC (Word 97/Aspose) if you would like to use ASPOSE. Note that once you select a Word Processor and begin creating letters in IQ you may not change this setting. Doing so will require your office to purchase a conversion of existing letters.
This section of the System Configuration Settings allows you to control the display mode for codes and other selection dialog boxes. By default, IQ displays the list of available codes to the left of the selected codes. If you would like IQ to display the list of available codes above the selected codes then check the appropriate check box for Affiliation Codes, Departments, Form Letters, Issue Codes, Calendar Topic Codes, Workflow Codes and Workflow Data Fields (i.e. UDFs).
Select this option to enable the creation of position based Issue codes for new and existing codes. Position based Issue codes are codes that end in .P, .C or .N (for Pro, Con or Neutral) and are required if you want to use IQ's Issue Tally to track positions.
Select Use smart lookup when entering text into lookup fields if you would like IQ to display a list of codes that contain the text you enter in the code field. Select Require exact match when entering text into lookup fields if you would like to limit the search to exact matches.
This section allows you to select how user validation is handled, whether record level security can be used, and the proper path for the configuration file used by the IQ Admin Client.
Select this check box if you would like to enable single sign on for your IQ system. Single sign on allows users to log into IQ without entering their IQ user-id and password. Users simply click the Login button on the IQ Login dialog.
Select this check box if you would like to include the Domain Name along with the IQ Login ID. This allows two different users to have the same Login ID in IQ as long as they belong to different domains.
Select this check box if you would like to enable record level security for People, Mail, Workflow and Document records in IQ.
Select this if you would like to exclude secured records when filtering in the IQ4 List Results and when using the analyze feature for Contacts, Messages, Services and Library. The search results title will indicate the number of records not shown, as well as the total number of records found.
This field contains the path and file name for the IQ Admin Client's config.ini file.
Select Yes if you would like IQ to capture a Trace Log file for every background job when it runs for your IQ database. The log file can only be accessed from the IQ4 user interface and can be used by Leidos Technical Support to troubleshoot failures. Note: Each trace log is limited to 15 MB, so therefore, some background processes, such as a Full Auto Merge will not capture the entire trace log. This setting defaults to No, which means no Trace Log will be captured.
Leave this field empty if you would like IQ to retain deleted records so they are available for record restore indefinitely. Enter a number, 1 to 365, if you would like IQ to permanently delete records from your deletion tracking database after a specified number of days. So, for example, if you enter 30 days in this field and the deletion date of a record is August 1st, then that deleted record will be removed from the deletion tracking database on August 31st.
IQ provides two types of calendar synchronization Microsoft Outlook and iCalendar (.ics file format). Click in this field and select which type of synchronization you want to use for IQ Event records or select None selected if you do not want to synchronize IQ events.
When this is selected, IQ will display the custom field label and value (i.e. Alternate Date: 9/12/2012) in the Outlook Event in a section titled ***********Other Information************* for synchronized events. Only custom fields that contain a value in the IQ event record will be included in the synchronized Outlook event.
This field is used to trigger a custom version of IQ calendar synchronization which uses Oracle's OCS to send "Invites" when a user selects the Save and Sync action in an IQ calendar event. Contact your IT Consultant for more information about this feature.
Select this if you would like the Send Invite check box to be selected by default when each user adds a new Event or Recurring Event in the IQ4 user interface. Note: This setting does not apply to new Events or Recurring Events which are added in the IQ3 user interface.
This setting allows you to select the number of pixels, 20 or 40, for the display size of each time slot in the Daily and Weekly Views in the IQ4 user interface. This setting defaults to 40 pixels, which allows three consecutive Events to fit in a time slot without overlapping. Select 20 pixels, if you want IQ4 to display more Events without having to scroll in the Daily and Weekly views. Note: Selecting 20 pixels will result in the overlapping of three 15 minute consecutive Events in the Daily and Weekly views in the IQ4 user interface.
This section is used to set rules for when People records can and cannot be deleted.
Set this to No if you want to restrict users from deleting People records which contain open or closed workflow records.
Set this to No if you want to restrict users from deleting Agency Contact records which contain open or closed workflow records.
This section allows you to select display settings for People records.
This setting allows you to select the quick report to be used for the Summary panel in the People record page. The default setting is People Record Summary Tab Report which contains primary addresses, all communication information, household and salutation information, affiliations, custom fields, pending and completed mail, open and closed workflow, events and boards. The People Record Summary Tab Report - AFFL List option displays the same information except the affiliations are displayed with checkboxes. The Demographic and Voting History option displays voter ID, marital status, race, language, etc. along with voting history.
This section is used to set a limit on the number of addresses associated with a People record, to determine whether household salutations can be edited and .
This field can be used to restrict the number of address records that can be added to each People record in IQ. Once the limit has been reached, the New Address action is grayed out in the People record. Leave this field blank if there should not be a limit.
This field defaults to Editable, which allows users with the appropriate security to edit People records to change the Household Salutation. Select Computed based on Rules if you would like IQ to calculate the salutation based on a predefined set of rules. When this option is selected, the Household Salutation and Household Name fields are grayed out in the People record.
This field allows you to set a limit for the Universal Search results for People by Name or Organization. The default setting is 50. If the total number of results is less than the value entered in this setting, then IQ displays a single search results with both People by Name and People by Organization records. If the total number of results is more than the value entered in this setting, then IQ displays three links: Show All Results, Show People found by Name and Show People found by Organization, with a record count for each. Click one of these links to view the records in the People Search Results page.
This section is used to set parameters for Address Checker standardization including the location of data files, the format of addresses, whether code file data should preempt the data in the Address Checker database and whether Geocoding is used. These parameters apply when adding new People records or running Address Checker for existing People records.
Select this check box to turn on Address Checker for your IQ system. When this is selected, IQ will automatically check the entered address in People records against the Address Checker database. In addition, you can run address checker for a selected list of People records to standardize addresses in existing People records. If your IQ system is configured for IMA, the addresses in incoming emails will be checked against the Address Checker database.
This is the location of the address checker database that is used for address verification when Use Address Checker to Standardize Address Entries is selected. Note: If Use Address Checker to Standardize Address Entries is checked and this field is not populated, IQ will use the default path of e:\ZipData\.
Select this check box if you do not want IQ to update the street address when Address Checker is launched.
Select this check box if you want IQ to update the street address when Address Checker is launched. For example, if the street address is 123 Main St. or 123 Main, IQ will expand this to 123 Main Street. Likewise, "901 7th St NW" would be expanded to "901 7th Street Northwest".
This setting can be used in conjunction with the Expand Street Address Parts setting to abbreviate post-directionals (i.e NW, SW, N, S, etc.) when Address Checker is launched. If this is not checked, post-directionals will be expanded. For example, "901 7th St NW" would be expanded to "901 7th Street Northwest".
Select this check box if you would like IQ to use the Congressional District from the ZIPTOCD table in place of the Congressional District returned by the Address Checker database. If your IQ system is configured for IMA, the addresses in incoming emails will also be checked against the ZIPTOCD table for the Congressional District. In addition, the URL for Web Service field needs to be configured in order for IMA to access the ZIPTOCD table. When both this field and the URL for Web Service settings are selected/populated, IMA will update custom address fields with geocoding data for Formatted (Workflow and non-workflow) and Unformatted emails which result in the creation of a new People record or adding an address to an existing record.
Select this check box if your district contains addresses that are not in the address checker database or if the address checker database doesn't return the correct values for a specific zip code. This usually occurs when there is a redistricting of congressional and legislative districts. When this is selected, IQ will check your CSZ code file for a matching zip code and if it finds one, it will use the city, county, state, precinct and district in the CSZ code file in place of the address checker data.
Select this check box if your CSZ code IDs are in the format of Zip+4 (i.e. 20855-2046) and you have also selected the Use City, County, State, Precinct and/or District from CSZ Code Table Instead of Address Checker Results check box. IQ will check your CSZ code file for a matching zip+4 and if it finds one, it will use the city, county, state, precinct and district in the CSZ code file in place of the address checker data.
Geocoding within the IQ product involves the lookup and retrieval of additional jurisdiction-specific data elements as part of IQ’s Address Checker process. This field is used to store the customer’s unique geocoding identifier. The ID that is entered here tells IQ which geocoding configuration file to use in the \configs directory on the IQ web server.
This section is used to determine what, if any, address update service can be used for periodic updates of addresses in your IQ People records.
This setting defaults to "None selected". Click in this field and select NCOA or LACS if you want to use one of these address update services.
This setting is used to identify the location of the NCOA directory on your IQ server, such as \\<IQ Server Name>\NCOA\<state&district>. This is where IQ places the NCOA_<date>.out file that is created when you use NCOA to export your IQ people records.
This setting is used to identify the location of the NCOA directory on LMAPPS, such as \\LMAPPS\NCOA\<state&district>. This is where IQ places the NCOA out/in and put/get files.
This section allows you to select which types of Set records will use the created date (the date when the Set records are posted) for the Incoming Date in the Mail record. If you do not select Use Created Date for Mail Date In for Sources, the Incoming Date in the posted Mail records will be the date in which the record was added to the Set.
This section allows you decide whether or not voting history and demographic information is available in a People record and if election counts should be available in the List processor. Select Show Voting History and Demographics if you would like IQ to display the Voting Information action in the People record page and display the Voter Data panel in the Contact record in the IQ4 User Interface. Select Show Odd Year Election Counts as Selectable, Analyzable, and Reportable Fields in Lists if you would like for this information to be available in the People List processor.
This section allows you to configure IQ to automatically assign the selected Frequent Writer Affiliation Code to People/Contact records based on the selected Incoming Methods to Include, Minimum Number of Incoming Non-Workflow Messages and Time Period (Days). The Frequent Writer affiliation code is automatically added to (or removed from) the People/Contact records by the Verify Frequent Writer background job, which is activated once a Frequent Writer Affiliation Code is selected. The Verify Frequent Writer background job is a recurring job which runs once a day and must be manually deleted if you no longer want IQ to add or remove the Frequent Writer affiliation code.
This section allows you to configure Intranet Quorum to read live Voter Data and to import missing records into your IQ database from the IQ4 user interface. Contact your Leidos ITC for assistance with setting up your customer specific account details.
This section is used to configure optional mail components Digital Mail, Digital Fax and Scan and Offsite Printing. These features are specific to House and Senate users.
This section is also used to determine how tray names and bin numbers are retrieved for Printer Configuration set up and to define Salutation Rules. You can select a default salutation and cascading conditions to define which salutation will be used if the field for the default is blank.
Select this check box if your office receives digital mail from a remote storage facility. When you select this check box, IQ displays the additional fields for this section.
Select this check box if digital mail files are stored locally on your IQ server.
This is the directory location where the digital mail files are stored on the HIR digital mail repository. Enter the path in the format \\digitalmail\<StateDistrict$> (ex: \\digitalmail\va00$).
These settings are the NT user credentials that are needed to run the digital mail service. Contact your IT Consultant for assistance with these settings.
Select the number of days (2, 3, 4 or 5) in which you would like IQ to display a System Warning message if no digital mail has been received.
This setting allows you to delay the deletion of the Digital Mail file for a selected number of days. If this is set to 0, then the delete command is issued as soon as the digital mail record is deleted. If 1 to 365 is entered, then a background job is created to delay the delete request for the selected number of days.
This setting is used to identify the location on your IQ server where fax image files (TIFs) are stored, for example e:\fax\qng. An automatic service then passes the TIF image through an Optical Character Recognition (OCR) process. The resulting file is then sent (along with the original TIF) to IMA where the name and address data from the OCR is parsed and processed using IMA Rules.
This setting is used to identify the location on your IQ server (such as e:\scan\qng) where scanned image files (TIFs) are stored. The TIF images are processed through an Optical Character Recognition (OCR) process and then sent to IMA for processing by IMA Rules.
This setting is used to identify the email address for the processing of incoming fax emails by IMA.
The e-mail address entered in this field is used to identify the emails sent to IMA as containing a scanned image.
Enter the IP address of the offsite print server.
Enter the user name needed to log into the offsite print server.
Enter the password needed to log into the offsite print server.
Enter the name of the print directory on the offsite print server.
Enter the name of the FTP folder to send decollated offsite mailings to from your IQ system.
Enter the ID for your office.
Select Yes if you would like to print on both sides of the paper for multiple page letters.
Select the fax coversheet from the available list of Approved IQ Documents.
Select the macro file from the available list of Approved IQ Documents.
Enter the IP address of the offsite label print server.
Enter the user name needed to log into the offsite label print server.
Enter the password needed to log into the offsite label print server.
Enter the ID for your office.
These settings allow you to select the preferred default salutation for outgoing mail records that are created by IMA or by users. In addition, you can select an alternative salutation in the event that the selected default salutation is not available.
Click in this field and select the default salutation (Formal, Informal, Family or Friend) for outgoing mail records that are created by IMA or by users.
This setting is used when Formal is selected as the Default Salutation and the People record does not contain a Prefix or Last Name.
This setting is used when Informal is selected as the Default Salutation and the People record does not contain a First Name.
This setting is used when Family is selected as the Default Salutation and the People record does not contain a Last Name.
IQ automatically selects the value entered into this field in place of "Dear Friend" when the Salutation fields in an Agency Contact People Record are empty. This value is also available for selection in the Salutation field drop-down list in the Mail Record page when the People record associated with the Mail Record is an Agency Contact.
This section contains additional Mail Configuration parameters settings for a default Outgoing Method, how duplicate mail will be identified, display of ID numbers, alerts for the Mail approval process, restrictions on printing mail with incomplete address information and settings to optimize performance and the user experience when printing and returning to previously viewed mail.
This setting allows your office to select a system wide default Outgoing Method of Email or USMail for Messages created in the IQ4 user interface. Note: If the IQ4 user has a default Outgoing Method selected in his or her IQ4 User Preferences, then it will be used in place of the method selected in this field.
By default, IQ displays duplicate letter counts in the Mail and Batched search results pages. If you do not want the duplicate letter counts to appear, then select No for this setting.
Select Yes if you would like IQ to include all of the versions of the same form letter when it checks for duplicate letters. Select No if you do not want to include versions of the same form letter in duplicate letter checking.
This setting can be used to limit the number of days IQ uses when searching for duplicate letters for the same person or household. Leave this empty to include all duplicate letters regardless of how long it has been since a duplicate letter has been sent to the same person or household. If you enter a number of days, the duplicate mail message text (on the Mail and Batch Search Results pages, inside a Mail record, and in the scrolling grid's mini-Mail record) will contain an asterisk along with a tooltip text of "Counts only pending mail or mail completed in the last xx days".
This setting can be used to automatically close duplicate letters when printing or sending email from the IQ4 user interface. By default, this is set to off (i.e. No Automatically Complete as Duplicate).
When this feature is set to "Automatically Complete Duplicate Letters," the Messages that are auto-closed will be changed to Completed status, will contain a "Recorded as duplicate..." note in the Message Comments field, will no longer have the duplicate Form Letter assigned, and will specify these details in the Status Log. Note: The duplicate check includes both pending and completed Message records with the same letter for the same Contact.
Select Yes if you would like IQ to display the Incoming ID in the ID column of the Mail panel in People records as well as in the blue General Information section heading on the Mail panel in Mail records.
When this is set to Yes, IQ will send a Mail alert to the approver(s) when Request Approval is selected in the Status field for Mail records. In addition, Mail alerts will be sent when the approver denies approval. IQ also sends Mail alerts for unsent e-mails.
Select Yes if you do not want IQ to display duplicate letter warnings for Agency Contact records. Select No if you would like IQ to display duplicate letter warnings for Agency Contact records.
This setting allows you to control the number of minutes that IQ caches mail objects. The default setting is 5 minutes, however, you may need to change this depending on the number of Mail records in your IQ database. Contact Leidos Technical Support or your IT Consultant for assistance with this setting.
When Yes is selected for this setting, IQ can use Active Scripting to identify the printer trays from the installed printer drivers on your workstation.
When No is selected for this setting, IQ replaces the merge fields (from the form letter) with data in the customized letter. If your office does not print or send the customized letter on the same day it is created, then you may want to select Yes for this setting to ensure that the correct name, address and letter date appear in the customized letter.
Select Yes if you want IQ to restrict the printing of letters that do not contain a complete mailing address. When this is selected, a domestic address must contain a City, State, Zip and at least one Address or Organization line. A foreign address is considered incomplete if Address Lines 1 thru 4 or Country are missing. When an incomplete address is detected by a printing process, the print actions will remain unavailable until the address is corrected, another address is selected or the user selects the Override check box on the Mail record page or the "Allow incomplete addresses to be printed" on the print letters dialog.
This setting controls the number of letters that will be merged into a single XML file during printing. It also controls the number of XML files that are downloaded to the workstation at one time. So, if the buffer size is set to 10, then 10 letters are merged into a single XML file and 10 XML files are downloaded to the workstation for each "pass".
This setting allows you to select the age ranges for reports created using a Mail List that contain the aging column. Enter the ranges in the format: 1-3, 4-10, 11-365 to report on 0-3 days, 4-10 days, and 11-365 days. Note: Changing these values can affect existing reports and changes to this parameter should be done with this understanding.
Enter the number of bytes for the maximum size of the printed merged letter. IQ will display a warning message for form letters that exceed the number of bytes entered in this setting. The warning message will also appear when you access a Mail Record that contains a form letter whose size exceeds the maximum bytes. Leave this field blank if you do not want IQ to display a warning message.

Enter the path of the folder location(s) of files for use with IQ's Mail Imaging Tools. IQ will need full access to these folders, so that it can read and delete files from the folders. Each folder is a ”r;queue” in the Mail Image Tools.
This setting allows you to define a subset of affiliation codes which will prevent any IQ user from adding, printing or emailing mail for People records which contain one of the affiliation codes listed in this field. The only printing that is allowed is a Print Copy of an existing Mail record with the status of Completed. Note: Mail records are still created for incoming emails that are added to a Set or processed directly into your People database. If those People records, however, contain one of the Affiliation Codes in this field, users will not be able to print or send email for those mail records.
This setting is used to activate the "Mass Mailings" option under the New button in the Contact List results in the IQ4 user interface. Click in this field and select the unique Issue Code (such as MASS.MAILING) you would like IQ4 to assign to Message records that are created by the Mass Mailings wizard. IQ then uses this Issue Code to exclude the Contacts who have already received a mass mailing within the past 365 days.

This section allows you to define general rules that apply to all Workflow records, regardless of the template used.
This field is used to identify the location of the Geographic Information System (GIS) map used by Fairfax County. When a path is entered in this field, IQ displays Search with Mapping in the Actions menu for Workflow Search. This action allows users to search for and automatically populate the mqlng, mqlat, mqlvl and mqorig Data Fields for longitude, latitude, level, and original address in the workflow record.
If your office has a large number of workflow records, you may wish to limit the number of records in the Workflow Search Results page to prevent potential out of memory errors on your IQ server. Enter the number of records or leave this setting blank for no limit. IQ displays a message on the Workflow Search Results page if the number of records found exceeds the limit set in this field.
This setting determines whether calendar days or business days (no weekends or holidays) will be used to compute Workflow and Step Due dates.
Select Yes if you would like users to be able to add Step Notes to closed Workflow records.
This setting allows you to control the level of information that is displayed for Secured workflow records and any attached files or documents. Click in this field and select one of the following options:
When Queued to - Only show details on workflow that are queued to a user, group, or department as set under Record Security for the workflow. Secured workflow records that are not queued or owned by the user will only show "Secured Record" without detail information. When this option is selected, IQ displays the Workflow ID and the users who have access to the secured record. When this option is selected, the message text "For assistance you may contact User(s) <name of user(s)>." will appear on the Attachments and/or Documents panel in the Workflow record for any attachments or documents the user does not have security rights for.
Never - Never show detailed information about the "Secured Record" to the user, unless that user has access under Record Security for the workflow. "Secured Record" will also appear on the Attachments and/or Documents panel in the Workflow record for any attachments or documents the user does not have security rights for.
Always - Always show detailed information about the "Secured Record" to all users.
The kind of detailed information that is shown to users who cannot access "Secured Records" would be:
"Secured Record: For assistance with Workflow # 841472 you may contact User(s): Mark Young, Wayne Rogers."
This only gives the user the information they need to make an inquiry: the WF ID # and who has access to the "Secured Record". When Always is selected, the message text "For assistance you may contact User(s) <name of user(s)>." will appear on the Attachments and/or Documents panel in the Workflow record for any attachments or documents the user does not have security rights for.

This section is used to configure the maximum number of documents in the Document Library, Document Alerts and Document Directories (IQ4UI only).
This option allows you to limit the number of documents allowed in the IQ Document Directory. All document types and statuses are included in the count. Once this limit has been reached, no new documents may be added to IQ.
Select this check box if you would like to define rules for documents with Review and Expire dates that have passed. When you select this option, IQ expands the options in this section.
This setting allows you to determine what will happen to Document records that have already expired or with review dates that have already passed. Select Do not change records with dates earlier than today if you would like IQ to ignore these Document records. Select Change records and send notifications according to the settings in the sysconfig page if you would like IQ to treat these the same as other Document records moving forward. Note that selecting this option may generate a substantial number of alerts if there are a lot of existing Documents with expired or review dates that are less than today. Select Change records but don't send a notification if you would like IQ to update the Document records but omit sending any alerts.
Change Status to &endash; Select a status for documents that are past their expiration dates. Typically, expired documents would automatically be changed to Draft or Inactive status. Leave this field empty if you do not want IQ to change the status of expired documents.
Subject and Message &endash; Enter the subject and message content to be included in the alert. A link to the document record will also be included in the message.

Assignable &endash; Select No Change if you would like for documents that are due for review to continue to be assignable. Select Make Unassignable if they must be reviewed and manually marked assignable by a user once the review date has passed.
Subject and Message &endash; Enter the subject and message content to be included in the alert. A link to the document record will also be included in the message.
Send Automatic Alerts when Approvals Granted, Approvals Denied and Approval Requests for Form Letter
If your office uses Intranet Quorum's form letter approval process, you can select Yes in this setting if you would like IQ to send an alert when the Status of a Form Letter is changed to Request Approval, Denied Approval or Approved.
The directory selected in this field will be used as the destination when users add a new Form Letter Template in the IQ4 user interface. If no default is selected in this field, then the user's Form Letter Directory in User Preference will be used. This allows all users to save Form Letter Templates to the same location.

This section controls whether news, weather and other web hosted content can be displayed on the My IQ page for all users.
Select this check box if you do not want the Today's News, Weather.com, Web Capture, and Web Searches web parts to be available in the catalog on the My IQ Home page.
For web page access that occurs at the IQ web server, it may be necessary to specify your proxy server address here.
Leave this field blank to use the default news source configuration file rssSources.xml, which is located on your IQ server in e:\inetpub\iq.root\configs. If you would like to use your own variation of the rssSources.xml file, simply place it in e:\inetpub\iq.root\configs with its own name, such as AltRssSources.xml and then enter configs\AltRssSources.xml in this field.
Select a workflow template to be used for board referral contacts, if your office has configured a workflow template with a step application that provides the ability to designate any non-primary workflow contacts as referrals on the board membership record.
This setting is used to designate which workflow templates should be available for the Boards module for your IQ system.

If your office has purchased custom coding for the Legislative module, you will be provided the ID Code for this field.
Select House or Senate for the default chamber when searching for votes in the Legislative module.
Enter http://www.iqexpress.com/votes/ in this field for the location of the member and vote data for the Legislative module.
Select this checkbox if you would like IQ to include the From Email Address below the Subject and before the message body for IQ Alerts.
This setting allows you to control whether or not IQ automatically deletes all IQ Alerts for all users. The default setting is None, which means IQ Alerts are not deleted automatically and users will need to manually delete their IQ Alerts. When 30, 60, or 90 days is selected, IQ launches a recurring background job which runs once a day to automatically delete all IQ Alerts which are 30, 60 or 90 days old.
This section allows the administrator to set rules for user IDs, passwords and failed logins.
Enter the minimum number of characters that can be used for a user's Login ID. The default is 1 character.
This section allows you to set rules for the length, complexity and repetition of passwords. You can also set rules for timing of password expiration, warnings for expiring passwords and lock-outs resulting from failed password attempts. In addition, you can configure users and groups who will be notified any time a user is locked out of IQ as a result of failed logon attempts.
Select Yes if you would like to force a user to change his/her password the next time he/she logs into IQ. Note: The change password only occurs after an Administrator has changed the user's password. Also, the user must have Security Lock #106 (Change Password) granted in order for that user to be able to change his/her password.
Select No if users are not allowed to use their Login ID as part of their password. Select Yes if a user's password can include their Login ID.
Enter the number of days to require users to change their password. Leave this field blank or enter 0 if there is no enforcement of password change. When this is set to 1 (or more) days, both Limited and Full license type IQ users will receive a notification to change their password. Note: Only IQ users who have been granted access to Security Lock #106 will be able to change their password.
Enter the number of days of inactivity before an IQ user is locked out of IQ. For example, if you enter "90", then any users who have not logged into IQ for 90 days would be required to contact their system administrator for a password reset. If the value is blank or "0", then this setting will be ignored.
This setting can be used to require users to select a different password before they can reuse a previous password. For example, enter 2 if users must select two different passwords before using a previous password. Enter -1 if users can never reuse a password.
Enter the number of days before a user's password is going to expire to send a warning message. Leave this field blank or enter 0 to not display a warning message.
This setting can be used to control the minimum number of characters for a user's password. Leave this field blank or enter 0 for no minimum.
Enter the minimum number of uppercase characters that must be included in the user's password. Leave this field blank or enter 0 for no minimum.
Enter the minimum number of lowercase characters that must be included in the user's password. Leave this field blank or enter 0 for no minimum.
Enter the minimum number of numeric characters that must be included in the user's password. Leave this field blank or enter 0 for no minimum.

This setting can be used to control the number of consecutive times a user can enter the wrong password before his/her IQ user-id is locked. Leave this field blank or enter 0 to never lockout a user-id for failed login attempts.
Enter the number of hours before IQ automatically unlocks a user's IQ account. Leave this field blank or enter 0 to never auto-unlock a user's account.
This setting can be used to control the number of hours that must pass before a user can change their password again. Leave this field blank or enter 0 for no limit. Note: This setting does not apply when Administrative Reset of Password Forces User to Change Password on Next Login is set to Yes.
Leave this field blank if you would like IQ to display the default change password message based on the above password settings. Or enter an alternative message to display (in place of the default message) in the Change Password dialog when a user changes their password.
Select the user or users who should receive an alert message when a user's IQ account has been locked out.
Select the group or groups of users who should receive an alert message when a user's IQ account has been locked out.
Use this to turn user password encryption on or off.
Select Do not change current encryption status to retain the current encryption. Select Generate a new Encryption Key to encrypt all IQ user passwords. Select Turn off Encryption to turn off encryption control for all IQ user passwords.
This section allows you to turn on two-level authentication for the IQ login process. When Use Two-Level Authentication is set to Yes all users logging into IQ will be sent a one-time use passcode, which is valid for 5 minutes or up to 12 hours depending on the time selected. The passcode must be entered each time, before the user can proceed to the IQ login page. Note: The passcode is emailed to the email address entered in the Forwarding Address field in each IQ user's record page.
By default, this setting is set to Yes, which allows for embedded HTML Hypertext Markup Language. The coding language used to create Web pages. HTML commands cover many types of text formatting and also have the ability to include graphics and other nontext elements. code to be entered into text fields in IQ. For example, you can use <b></b> to begin and end bold, <i></i> to begin and end italics, and <u></u> to begin and end underlining. In addition, IQ will display buttons for Bold, Underline and Italic next to the Summary and Notes fields in the Event Record page. Select No, if you would like to prevent users from being able to save records which contain HTML coding. IQ will display a warning message indicating that HTML is not allowed and must be removed before the record can be saved. Note: The Bold, Underline and Italic buttons are not available in the Event Record page when this is set to No.
This setting allows you to control the number of minutes of inactivity before a user's IQ session will time out. IQ will display a message to let the user know that their login session is about to expire. The default and maximum number of minutes is 240.
This setting allows you to enter a list of names (up to 4000 total character limit) which can not be used for login IDs for your IQ system. If a user tries to save a User record that contains a forbidden log in, IQ displays the red message text "This Login ID cannot be used" at the top of the user record page. Note: The names entered in this field are case insensitive.
