Archiving Workflow

With proper setup, IQ provides the ability to archive closed Workflow records to users with access to Security Lock 86. When you archive Workflows, the associated data (letter, attachments, etc.) is removed from your IQ database and placed into an office defined location. This location may be a designated drive on a server, a back-up system, or other external media.  Archived Workflow records are still viewable in IQ and may be restored to an un-archived state. Restoring archived Workflow records will place the associated data back into your IQ database server. Contact your IT Consultant for assistance in setting up this feature.  

How to archive Workflow records:

  1. Search for the closed Workflow records.

  2. Select the check box next to the Workflow record or records that you want to archive or click the Select All link to select all records.

  3. Select the Archive action.

  4. IQ displays the Archive Workflow dialog with the number of Workflow records that can be archived.

  5. Select the Include Archivable Mail check box if you want to archive associated Mail records.

  6. Click the Archive button.

  7. Click OK to clear the selected Workflow records.

How to restore archived Workflow records:

  1. Search for the archived Workflow records.

  2. Select the check box next to the Workflow record or records that you want to restore or click the Select All link to select all records.

  3. Select the Restore action.

  4. IQ displays the Restore Workflow dialog with the number of Workflow records that can be restored.

  5. Select the Include Restorable Mail check box if you want to restore associated Mail records.

  6. Click the Restore button.

  7. Click OK to clear the selected Workflow records.

The Step Status column on the Workflow Search Results page is updated with "Closed" for the restored records.
