Searching for People - Results

When you submit your search criteria by clicking the GO button for either a quick or advanced search, all records that meet your criteria appear on the People Search Results page. If your search criteria is first and last name (for example Mary Smith) or first middle and last name (for example James D. Smith), IQ highlights the People record that is the closest match. The name link for that record appears in red and has focus so that you can press the enter key to access it. In addition, the search results will contain matches based on your IQ nickname code file. So for example, if you search for Thomas Smith, the search results will contain Thomas Smith, Tom Smith and Tommy Smith, since Tom and Tommy are nicknames for Thomas.

You can perform actions for multiple records that appear on this page. Select the check box next to one or more records (or click the Select All link to select all found records), and then select an action for those records.

If you select multiple records and then select the Edit action to access the first record, when you're finished with that record, click the Next arrow to open the next selected record. The next record will open to the same panel as the last panel used. Actions that apply to records on this page are unavailable until you select at least one record. If you want to open a People record on this page, click the ID number link.

The number of records found appears in the page title. Each record is numbered sequentially, and the sequential number is shown in the # column. The number of records appearing on one page is shown in the # per Page field below the title. To change this number for the current and any future People Search Results, clear the field, type a different number, and press the TAB key. IQ will remember this number until you change it or your System Administrator resets it with the Configure option. Note: The more records per page, the longer it takes to display the results.

Use the scroll bar or the DOWN ARROW key to move to the bottom of the page. Click the > link or press the Page Down button to view the next page; click the < link or press the Page Up button to view the previous page. To go to the end of the list, click the >> link; to return to the beginning of the list, click the << link. Links are unavailable if there are no additional pages or if you’re at the end or beginning of the list.

If you don't see a People record for the person you're searching for, click the Modify Search link at the top of the page to re-enter or add search criteria. To save the search as a My Link click the Save Search link. The Analyze All By... link provides a quick and easy way to analyze all of the records in the current search results by providing a list of workflow fields at the top of the search results page. When you click a field link, IQ displays the results in a bar graph in a new window. For each row in the graph, you can click the magnifying glass icon to view a list of the analyzed People records. In addition, you can click the paper and pencil icon for a dialog of actions which can be applied to the selected row of analyzed People records.

The Search Results page shows the full name, people ID, organization, household members, preferred primary mailing address and alternate primary address of each record found. If the record contains more than one address a link appears below the Mailing Address that indicates the number and type of additional address. If there is only one additional address, mouse hover text displays it. Click the link to access the Address panel of the people record page. In addition, all primary communications information (phone numbers and e-mail addresses) and mail and workflow information appear for each record. Click a column heading to re-sort the search results by information in that column. IQ retains this sort until you change it.

The Deliverability column displays four possible values (?, P, U and OK), which characterize the deliverability of the address associated with the People record.  A ? indicates the address has not been evaluated by Address Checker, P indicates the address is Possibly deliverable, U indicates the address is Undeliverable, and OK indicates the address is confirmed to be deliverable.  The deliverability of an address is evaluated by Address Checker any address that causes an error in Address Checker will trigger a Possibly deliverable designation (P).  Note: The People Lists processor contains a field, Address Checker Deliverability which allows you to search for People records with a specific deliverability value.

Click the name link in the Full Name column to display the record on the People Record page. Click the Pending or Completed link in the Mail column to go to the Mail panel of the People record.  Click the Open or Closed link in the Workflow column to go to the Workflow panel of the People record. Click a mail or workflow ID link to access that Mail or Workflow record. Note that ellipsis points (...) following the second record ID in the Mail or Workflow column indicates that there are more pending or open records. The user that is assigned to the mail or workflow record appears when you place the mouse cursor on the mail or workflow ID link.

If there is more than one member of a household, their names appear in the Household Member column. In addition, hover text appears when you place the mouse cursor over the name in the Full Name column, that indicates whether the person is the head or member of a household. If the record is the head of a household, the hover text includes the names of the other members. The head of household appears in the hover text when the cursor is over a member record. If only the ID appears, that person is the only member of the household. In addition to the mouse hover text, a household or head of household label appears below the name link in the Full Name column along with the household ID. IQ displays If you see People records at the same address that are not householded, you can combine them into one household.

If a People record contains an affiliation code that has a pop-up message associated with it, the message appears in red below the name. In addition, the text IQ User appears if the People record is linked to an active IQ User record. If the IQ User record is suspended, then the text Suspended IQ User appears. The name of the Board appears in red below the name if the person is a current member of a Board and your user-id has access to the Boards module. If the people record has an associated Board Membership record, but the status is not Current, the red message text Board Activity will appear.

You can customize the display of the People Search Results page by selecting columns to Hide or Show. A plus sign (+) appears when you place the mouse cursor above a column heading, if the column can be hidden. Right click and select the column name in the pop-up to hide the column. To display the column, right click in a column heading and a list of hidden columns will appear. Select the check box for the column names that you would like to display and click the Show button. Generally, the check box, number and ID columns can not be hidden. Your settings for hidden columns will remain until you change them.

The Actions panel at the left of the page displays all available actions for record, however, some actions are unavailable until at least one record is selected by clicking in the check box next to it. Actions include such things as adding a people record, adding an event, adding correspondence, adding a workflow, assigning affiliation codes, assigning agency contacts, analyzing selected records, changing data, changing security, marking the record for merging or householding, printing envelopes or printing a summary by section or quick report. When you select multiple records and then select an action, you can act on one record after another using the Previous and Next arrows.

Print Search Results

You can run reports for selected or all records found with the search and appearing on the Search Results page by selecting the Print action. Printing options let you format your output as HTML, Word, or Excel. Check the Print Each Row on New Page check box to print one row per page when printing your output as HTML. This option does not apply to the Word or Excel output formats.

Save Results to a People List

You can save your search results to a People select list by selecting the Save as List action from People search results, or by selecting the People List action from Mail, Batch, or Workflow search results. These actions create a list containing People records that were found as a result of your search.

To save your results to a People list:

  1. Choose individual records by selecting the check box next to each one or choose all records by selecting the Select All link at the top of the listing.

  2. Select the Save as List action if you're on the People Search Results page, or select the People List action if you're on the Mail, Batch, or Workflow Search Results page.

  3. Type the name of the list in the List Name field.

  4. Click in the List Type field and select one of the following list types:

  1. Click the Save button. The list appears when you click the Lists submenu option and is identified with a Method of Personal.
