Deletion Tracking and Record Restore

IQ provides the ability to restore deleted People, Mail and Workflow records along with all their associated data (such as file attachments, Documents, Events and Discussions). People, Mail and Workflow records that are deleted are tracked in a separate IQ account and are available to be restored or purged by users with access to Security Lock #108. You can also configure IQ to automatically purge deleted records after a specified number of days. Once Mail, People or Workflow records have been manually or automatically purged from your IQ deletion account, they are no longer recoverable. Contact your IT Consultant for assistance setting up your IQ database for deletion tracking.

How to search for and restore a deleted record:

  1. Click the Admin tab and click the Record Restore submenu link.

  2. Complete the fields on the Record Restore Search page and click Go.

  3. IQ displays the Search Results page with the Record ID, who deleted the record (Deleted By), the Deletion Date and time, and a brief overview of the record.

  4. Select the check box next to the record or records that you want to restore.

  5. Select the Restore action.

  6. Click OK to close the # of records restored dialog. Note: IQ will display a message if the selected record or records cannot be restored.

How to manually purge deleted records:

  1. Click the Admin tab and click the Record Restore submenu link.

  2. Complete the fields on the Record Restore Search page and click Go.

  3. IQ displays the Search Results page with the Record ID, who deleted the record (Deleted By), the Deletion Date and time, and a brief overview of the record.

  4. Select the check box next to the record or records that you want to purge.

  5. Select the Purge action.

  6. Click OK to confirm purging the selected record(s).

  7. Click OK to close the # of records purged dialog.

Note: IQ also provides the option to automatically purge deleted records after a selected number of days. When configured, IQ will display a message with the number of days along with the date and time the background job for the purge of Record Restore data is scheduled to run. Click the Auto Purge History action to view a list of Purge Record Restore background jobs that are queued or have completed.  For completed jobs, the Results column will display the number of records permanently deleted according to type. For example: Purged: 25 People; 52 Mail; 36 Workflow.

Record Restore Search Fields

Type of Deleted Record to Search for

Click in this field and select the deleted record type (Mail, People or Workflow) that you want to locate.

Users

Type the name of the user or users that deleted the record or click the lookup icon to select from a list of available users.

Delete Date

Enter a date range to locate records that were deleted during a specified time frame.

Record ID

Enter the record ID or IDs of the deleted record separated by commas.
