Mail Image Tools

The Mail Image Tools submenu link is available in the My IQ, People, Mail, Workflow, Calendar and Boards modules for IQ users who have been granted access to Security Lock #50. This tool allows the user to view files that are not stored in IQ's Document module, take possession of the file and attach the file to a People, Workflow, Calendar or Board record.

How to attach an image file to a People, Workflow, Calendar or Board record:

  1. Select the Mail Image Tools submenu link. IQ displays a list of all image files regardless of the folder (i.e. queue) they are located or ownership. Note: Click the View link in the Action column to open the image file in a new browser window.

  2. Click the Take link located in the Action column for the image file you want to attach. Your name appears in the Owner column. Note: Click the Return link to release ownership of the image file.

  3. Click the People, Workflow, Boards or Calendar link in the Activate column. IQ displays a yellow highlighted Active Mail Image submenu link.

  4. Search for the record you want to add mail and attach the selected image file to.

  5. Select Add Mail action for a People record, Mail Primary or Add Mail for a Workflow record and Send Board Letter in a Board Member record. IQ displays the attached image file in the Attachments and Response Text section of the Mail record page.

How to delete an image file:

  1. Select the Mail Image Tools submenu link. IQ displays a list of all image files regardless of the folder (i.e. queue) they are located or ownership.

  2. Click the Delete link located in the Action column for the image file you want to delete. Note: The delete action is only available for the files that are not owned by another user.

  3. Click the Deleted (#) action in the actions menu, where # is the total number of image files that have been marked for deletion. IQ displays a list of all deleted image files with the following actions:

  1. Click the Permanently Remove Deleted Images action to remove the files from the image folder.

  2. Click OK to confirm that you want to permanently remove all deleted image files.
