Locating and Resending Unsent E-Mail

IQ provides the ability to locate outgoing emails that did not result in a Status Log entry of "Sent E-Mail to ..." in the completed Mail record and then resend them. For e-mails sent to multiple people (i.e. t-mail), the Mail record Status Log displays an entry for each person in the t-mail. If for some reason the completed Mail record does not have entries in the Status Log for each People record then that difference is the number of missing e-mails. So, if for example, the t-mail contains 2,000 records and 1,900 of the emails are sent before the system "crashes", then the targeted mailing record will display 100 unsent emails in the title. The number of unsent emails is also displayed in the Status column of Mail Search Results page.

A background job runs every 24 hours to locate unsent e-mails.  IQ then sends an alert message to the user to whom the Mail record is assigned.  The alert message text contains the Mail record ID(s) and a link to the Mail List, from which you can select the View List action to view the unsent Mail record(s). Note: Alerts will be received even though the user may have deliberately closed a Mail record without sending a response.

How to locate unsent emails for all IQ users:

  1. Create a Mail list with the following criteria:

  1. Click the Mail module tab and select "Unsent Emails Source" in the Search Mail for field. Then click the Go button.

How to re-send unsent emails:

  1. View the Mail list you created to locate the unsent emails.

  2. Click the ID link to access the Mail record that contains the unsent emails.

  3. Select the Fix Unsent action. Note that this action only appears if the Mail record is a targeted mailing and your IQ user-id has access rights to reopen closed mail.

  4. IQ displays the Review the People in this Targeted Mailing dialog with the total count of People who never sent the email along with a warning message if the mail record was closed within the last 10 minutes or if there are queued and/or running background jobs for the mail record.

  5. Select the checkbox and then click the Move to New T-Mail button to create a new Mail record for re-sending or the Remove From T-Mail button to delete the unsent emails from this Mail record.
