Workflow Template Record Page

The Workflow Template Record page contains panels that let you enter information about a workflow, create data fields, define roles, select security and create steps. To access one of the following panels, click the appropriate tab: Flowchart, General, Codes, Data Fields, Roles, Security, Steps, Forms, Archivist and Log.

Flowchart Panel

The Flowchart panel provides a graphical road map of the workflow template and allows you to set up Steps and Routes for the workflow template using the graphical interface. Note: The Flowchart Panel can only be used to set up Steps and Routes, all other setup (Codes, Data Fields, Roles and Security) must be performed from the other panels.

General Panel

The General panel of the Workflow Template record appears by default whenever you access an existing workflow template or create a new template. It provides overall information about your template and lets you select Template Options, Managers, and IMA Queued Users. You can also set Extended Workflow Rules, IMA Incoming Mail Status and Alerts and IMA Workflow Acknowledgement.

General Template Information

The General Template Information section on the General panel of the Workflow Template record contains the template name, the user that created the template, the date and time that the template was created and last modified and by whom. It also displays whether or not the template has been validated. If the template is not valid a No link appears next to the Validated field. Click the No link to display the reason(s) why the template could not be validated. These reasons also appear when you place your mouse on the No link.

Type the name by which you want to identify this template in the Name field. Additional information about the template may be entered in the Description field. The Template Name appears in the Select Template dialog box when you create a new workflow. It also appears in the title of the Workflow Record page and in the Template column of the Workflow Search Results page. You can perform workflow searches for workflows using a specific template.

Template Options

The Template Options section on the General panel of the Workflow Template record contains the following fields:

Status – This field defaults to Active. Click in this field and select Archived if you want to remove this template from the list of templates that appear for selection when creating a new workflow. If you’re in the process of creating a new workflow template, you should not make it active until it is complete and ready to be used. If you archive a template that's been used to create existing workflows, those workflows remain, as do all links to People records.

Name Extension – Click in this field and select the Data Field that you would like to use to sort workflow records on the Workflow Search Results page when you click the Template column heading. The selected data field values will appear after the template name in the Template column in the format Template Name - Data Field Value, for example Academy - 04/23/66, in which Academy is the template name and 04/23/66 is the value entered in the DOB data field in the workflow record.

Relative Due Date – A Relative Due Date can be calculated for all workflows created with this template. It is the amount of time after the workflow open date that the workflow is due to be completed. Type a number in this field and define this as a number of hours or days by selecting the Day or Hour option. A system configuration setting lets you select business or calendar days for calculating the relative due date. This setting affects calculation of the date that is entered in the workflow Due field. If "Use Business Days to Compute Due Dates" is set to Yes, IQ will not include Saturday or Sunday when calculating the due date. In addition, IQ will not include any dates that your office has entered in the Workflow Holiday Codes list. Type a 0 (zero) in this field if you do not want a relative due date associated with this workflow or if you want to set a default processing time for workflows with specific workflow codes. Note: The Use Business Days to Compute Due Dates System Configuration setting applies to ALL workflow templates, however, it is possible to use WML in the Step Initialization for the first step in the workflow template to override this setting.

Yellow Alert at Due Date Minus X Days – This setting can be used for Service records in the IQ4 user interface to control the threshold date which determines if the Service Due Date is green or yellow before the Due Date is reached. Once the Service Due Date (and time) is reached, the Service Due Date (and time) turns red inside the Service record and the Service List Results. If configured as blank or 0 days, the Service Due date will always be black. The threshold computation respects the System Setting for Calendar/Business Days and the Holidays Table.  Note: This setting does not apply to Workflow records in the IQ3 user interface.

Extend Data shown in the Workflow Explorer with this HTML This field can be used to display data, such as linked workflows or workflow related mail records, in an iframe in the Workflow Search Results page. Contact your Lockheed Martin IT Consultant or Tech Support for assistance with this feature.

Audit Changes This option creates an audit trail for workflows created with the template. When you turn on the audit trail by selecting this, changes made to the workflow record security or fields on the Workflow Record page are recorded in a note in the active step. An audit step note is also recorded for Auto Rules that set field values or send email alerts. Audit notes appear in read only and can not be edited or deleted.  IQ does not audit changes to record security for workflow notes, step notes or attachments. The default audit level can be set for each user (who has been granted access to Security Lock #76) to control the amount of information that appears in the workflow record for the audit trail. Note: If you select No for Audit Changes to the Workflow Edit Screen, IQ will still audit changes for Update Current Step and Workflow Due Dates, Update Workflow Priority, Complete Step and Update Workflow Close Date.

Show Template as An Application This option lets you indicate whether or not the workflow template is available for selection in the Application field for the Workflow Advanced Search and User Preferences.

Show People on General Tab Select this option if you would like for associated People records to appear on the General panel of workflow records created with this template. If you select this option, the People panel will not appear in workflow records created with this template.

Show Events on Events Tab This option lets you indicate whether or not events can be associated with the workflow. If this option is not selected, then the message "Calendar Module is not active" will appear on the Events panel of the Workflow Record and you will not be able to Attach Events or see previously attached Events. Note that turning this option on and off does not remove previously attached events from workflows that were created with this template.

Show Events on General Tab/WF Grids  Select this option if you would like associated Events to appear on the General panel of workflow records created with this template as well as the Workflow Search Results page. Note: If you select this option in addition to Show Events on Events Tab, IQ will not allow you to save the template record.

Hide Workflow Notes Select this option to hide the Add WF Note action and the Workflow Notes section bar for any workflow created with this template after this option is selected. The Add WF Note action remains available in existing workflow records that contain workflow notes.

Sort Workflow Notes And Step Activities in Descending Date Order Select this checkbox if you would like the most recent workflow notes and actions within each Step to appear at the top. Leave this option unchecked to display the oldest Workflow Notes and Step activities at the top.

New Documents Inherit Workflow Security  Select this checkbox if you would like IQ to copy the record security from the Workflow record to the Document record when a user selects the Attach New Document action.

Preserve Agency Data When Closed – Select this option if you would like IQ to capture the data from Agency Contacts attached to a Workflow record in an audit note as the last step note when a workflow is closed. This option preserves the history of the workflow against future changes to Agency Contact records. The data that is preserved in the audit note includes: Name, Agency, Address, Workflow Codes, and Roles. When the closed workflow is displayed, the Agency Contacts tab will display historical info. If the workflow is re-opened at a later date, current Agency Contact data will display.

Restrict Role Assignment to 1 per Person – Select this option if you would like to limit roles to just one role per person. When this is selected, IQ will automatically uncheck the other selected role(s) when the user selects another role. In addition, the Add Role dialog can not be closed if more than one role has been selected.

Linked Workflows Type the template name(s) or click the lookup icon and select the workflow templates that will be used to automatically generate subworkflows that are linked to workflows created with this template. Subworkflows let you track work directly or indirectly related to the main workflow.

Attach Person Function  This setting can be used to automatically assign one or more Roles to a person as it is attached to the Workflow (or IQ4 UI Service) record by entering AssignRoles(Role1) or AssignRoles(Role1,Role2). For example if the role name is "Invited", then you would enter AssignRoles(Invited) in this field. To assign multiple roles (such as Invited and RSVP Pending), you would enter AssignRoles(Invited,RSVP Pending).

Managers

The Managers section on the General panel lets you indicate which staff members should have management access to workflows created using this template. Managers can acquire ownership or reassign workflows even though they are not the author or owner of the workflow.

IMA Queued Users

The IMA Queued Users section on the General panel lets you indicate to which staff members a workflow created with this template should be queued. This only applies to workflow records which are created from incoming webform workflow emails. If you do not set IMA queued users, the workflows will be queued to the manager(s) of the workflow.

Extended Workflow Rules

The Extended Workflow Rules section on the General panel lets you set up rules to automatically close the workflow if specific words or phrases appear in an incoming extended workflow email. Select the Edit Extended WF Rule action to go to the Extended Workflow EMail Auto-Close Rules dialog page. Type the word or phrase that must appear in the incoming message for the workflow you want to close. In the field next to the word or phrase, select the closed workflow status you want to assign to the closed workflow. The word or phrase you've entered must appear within the first 70 to 75 characters of the incoming e-mail text. The subject and e-mail address are not considered in the search. If a message has several "reply with histories," IQ searches the first 70 to 75 characters of the most recent reply only. If a workflow is closed by the automatic process and then manually reopened by a user, it will not be closed again by the automatic close process until another incoming e-mail with a matching Auto Close keyword arrives for the current step.  In addition, IQ automatically closes all associated Mail records when the workflow is auto-closed by an extended workflow rule.

IMA Incoming Mail Status and Alerts

This section lets you select the status of the initial Mail record that is created when the Workflow record is created from an incoming Web Form e-mail or another IQ System. The status defaults to Completed, but can be changed by clicking in "From Web Form, Set Status to" and "From IQ System, Set Status to" fields and selecting another status. Note: The selected status only applies to the initial Mail record that is created when the Workflow record is created and does not apply to any other Mail records, such as reply or response emails for the same workflow.

This section also allows you to control whether or not IQ should send a Workflow Reassignment Alert when the workflow is created. Select Send Alert(s) for Queued Workflow from Web Form if you want IQ to send an alert to the queued user(s) for workflows created from Web Form e-mails. Select Send Alert(s) for Queued Workflow from IQ System if you want IQ to send an alert to the queued user(s) for workflows created for e-mails from another IQ System. When these options are selected, IQ will send a Workflow Reassignment Alert to the IMA Queued Users or Groups. If there are no IMA Queued Users selected in the template, then IQ will send the alert to the template Manager(s). Note: If there are no IMA Queued Users or Groups or template Managers selected, then the workflow will be queued to the user QC, however, IQ will not send a reassignment alert.

IMA Workflow Acknowledgement

This section is available when Send WF Acknowledgement is set to Yes in your IQ System Configuration Settings. The check box "Use Template-defined IMA Workflow Acknowledgement" will appear and when selected the following fields will appear in this section:

Format of Subject – This setting allows you to control the format of the Subject of the workflow template auto-reply. Select Always use workflow-defined Subject to use the subject entered in the Subject field. Or select Use Re: Subject of incoming message, if available to use the subject of the sender's incoming e-mail.

Subject – If you selected Always use workflow-defined Subject in Format of Subject, then you may type the auto-reply subject in this field. In addition, you can include the Workflow ID in the subject by entering (CONTACT_ID) or $$CONTACT_ID$$$ in this field. If Format of Subject is set to Use Re: Subject of incoming message, if available, then this Subject is only used if the incoming e-mail has no subject.

Reply with History – Select this check box if you want to include the contents of the incoming message with the workflow template auto-acknowledgement. The complete message, including the subject and text, will appear at the bottom of the auto-acknowledgement message. Attachments to the original incoming message are not included when Reply with History is selected.

Message – Type the message you want to send automatically in response to all incoming workflow e-mail messages that result in the creation of a new workflow for this template. Typically the auto-acknowledgement is a notification that you've received their e-mail message and will provide a response as soon as possible. In addition, you can include the Workflow ID in the message text, by entering (CONTACT_ID) or $$CONTACT_ID$$$ in the message text entered in this field.

This panel allows you to select which folder/file plan, schedule name, report name and whether or not attachments, documents or mail records are included in the official record. In addition, you can use the Update Open WF action to update the records management settings in the associated open workflow records. Select the Closed WF to RM action to send closed workflow records (that have not already been sent to Records Management) to Records Management.

Folder/File Plan

Leave this field empty if you do not want IQ to create Records for closed workflows that were created with this template. Selecting a folder/file plan tells IQ how to classify the Records for workflows created with this template. Note: The selected Retention Schedule in the File Plan folder is a default for Records added to that Folder lacking a Schedule, however, you can override that default by selecting a schedule in the Schedule Name field in the workflow template.

Schedule Name

Leave this field blank, if you would like IQ to use the Retention Schedule that is associated with the selected Folder/File Plan. If the selected Folder/File Plan does not have a Retention Schedule or you would like to override what is selected in the File Plan Folder, then click in this field and select the name of the Retention Schedule to be applied to all workflows created with this template. When the workflow is closed and the official record created, a disposition (i.e. expiration) date is computed for the record based on the closed date of the workflow record plus the number of Retention Months for the selected schedule.

Report Name

Click in this field and select the report that will be generated and attached to the workflow when the workflow is closed.  This report is intended to serve as a summary for the business process, as part of or all of the official record.
