Attaching Files to a Workflow

You can attach documents, scanned images, and other files that are stored on your workstation to workflow. Any user can view the attachment from the Attachments panel of the workflow record. If the workflow is closed, you cannot attach files unless your user-id has access rights to reopen the workflow. The maximum allowable attached file size for your office can be set in your IQ System Configuration Settings.

To attach one or more local files to a workflow record:

  1. Add a new workflow or access an existing workflow.

  2. On the Workflow Record page select the Attach File action on the General, Steps or Attachments panel. IQ displays the Attach Files to Workflow dialog.

  3. Click the Browse button to display the Choose File to Upload dialog.

  4. Highlight the filename you want to attach and click the Open button to return the selected file to the File Name field.

  5. Repeat steps 3 and 4 until you have selected all of the files you would like to attach.

  6. Type information you want to record about the attachments in the Note field. If you leave this blank, IQ will automatically enter "Attached File" when it attaches the files.

  7. Select the appropriate attachment code(s) from the list in the Codes field. Note that this field only appears if codes have been entered in the Attachment Codes section in the workflow template.

  8. Click the Attach button to upload the file(s) to the server and attach to the workflow record.

  9. IQ displays "Please Wait" while it uploads the file(s) and then refreshes the Attachments tab to display the attached file(s).

The Steps panel shows a record of the attachment action with a link to the attachment. The Attachments panel shows all files attached to the workflow record. From the Attachments panel you can:

You can also delete attachments from the Attachments panel by selecting the check box next to the file or files you want to detach and then selecting the Detach File action. The Steps panel will show who detached the file and when.

The Check In as Document action allows you to mark selected documents that have been "attached" to a workflow and then"check" those documents "in" to the Documents module. Attachments that are "checked in as documents" from workflow are placed in a Draft status and become part of the Document Library. Note: Your IQ user ID must have access rights to Security Lock #'s 211 and 212 in order to use the Check In as Document action.
