Restricting Workflow Functions

You can limit the ability to edit the workflow or notes, delete notes, remove workflow attachments or reopen a workflow to only the current step owner and template manager(s) or to specific users or groups by selecting them on the Security panel of the Workflow Template Record page. The workflow must be open (or closed for Reopen Workflow) before IQ applies the settings on the Security panel. In addition, if your office uses Record Security, the user must have at least Edit access for the workflow. Note: If your IQ user-id has full access to the workflow template, you can use the Update Security action to update the Attachment Deletion, Reopen Workflow, Notes Editors and Notes Deletion for selected workflow templates at the same time.

Workflow Editors

The Workflow Editors section on the Security panel of the Workflow Template Record page lets you specify whether or not All users can add objects (such as People, Notes or Mail) to the workflow or only the current step owner and template manager (Owner/Manager(s) Only).

Note that access to some fields and functions may be restricted by other template options such as those in the Only Managers May section of the Edit Step dialog. Those restrictions will override an All users selection made here.

Notes Editors

The Notes Editor section on the Security panel of the Workflow Template Record page lets you specify whether or not users and/or groups can edit workflow and step notes. The default is Owner/Mangers(s) Only, which means that only the current step owner and template manager(s) can edit notes. Select None if you want to prevent the editing of notes by any user, even the current step owner and template manager(s).  Note: Step notes that are created by IQ when Audit Changes is selected in the Workflow Template can not be edited by any user.

To select individual users and/or group of users who can edit workflow and step notes in workflows created with this template, select Specified. Note: If you select Specified, the current step owner and template manager(s) will not be able to edit notes unless they are selected in the Users or Groups field.

Notes Deletion

The Notes Deletion section on the Security panel of the Workflow Template Record page lets you specify whether or not users and/or groups can delete workflow and step notes. The default is Owner/Mangers(s) Only, which means that only the current step owner and template manager(s) can delete notes. Select None if you want to prevent the deletion of notes by any user, even the current step owner and template manager(s). Note: Step notes that are created by IQ when Audit Changes is selected in the Workflow Template can not be deleted by any user.

To select individual users and/or group of users who can delete workflow and step notes from workflows created with this template, select Specified. Note: If you select Specified, the current step owner and template manager(s) will not be able to delete notes unless they are selected in the Users or Groups field.

Attachment Deletion

The Attachment Deletion section on the Security panel lets you identify staff members who can delete attachments to workflows created with the template. The default is Owner/Mangers(s) Only, which means that only the current step owner and template manager(s) can delete attachments.

To select individual users and/or group of users who can delete attachments from workflows created with this template, select Specified. Note: If you select Specified, the current step owner and template manager(s) will not be able to delete attachments unless they are selected in the Users or Groups field.

Attachment Access Delegation

The Attachment Access Delegation section on the Security panel provides a setting to allow users to grant Read access to workflow attachments (whose General Access level is NONE). When this option is selected, IQ will display a checkbox labeled "Automatically Grant READ Access to this Attachment for all future Workflow Assignments" at the bottom of the Record Security dialog. If selected, Groups and Users who are not explicitly granted NONE access will be granted READ access if/when the workflow is queued to them.

Reopen Workflow

The Reopen Workflow section on the Security panel of the Workflow Template Record page lets you indicate which users should have the ability to reopen workflows created with the template. The default is Owner/Mangers(s) Only, which means that only the user that closed the workflow and the template manager(s) can reopen a closed workflow.

To select individual users and/or group of users who can reopen workflows created with this template, select Specified. Note: If you select Specified, the current step owner and template manager(s) will not be able to reopen workflow unless they are selected in the Users or Groups field.

Primary Person Change Denied To

The Primary Person Change Denied To section on the Security panel of the Workflow Template Record page allows you to select which users or groups should not have the ability to change or remove the existing Primary Person in a workflow record created with this template.
