Searching for a List

Once you've created a list, it remains in Intranet Quorum until it reaches its expiration date or it is deleted by an IQ user. You can perform various functions on existing lists, including copying, merging, splitting, and deleting them.

To search for an existing list:

  1. Click a module tab and select the Lists submenu link.

  2. The Search for field defaults to the module you are currently in and the Users field defaults to your IQ user name.

  3. Click the GO button to search for lists that you own; OR

Make changes to the fields on the Search Criteria page if you want to expand or further limit the search and then click the GO button to begin the search.

  1. The results of the search appear on the Search Results page.

If you're not satisfied with the results of your search, click the Modify Search link to return back to the Search Criteria page to further narrow or expand your search by adding or removing criteria.

  1. Scroll through the search results until you find the list you want.

Once you've located a list, you can edit it by clicking the list name link or you can select the check box next to a list and perform any of the actions, including executing it, analyzing it, running Address Checker on it, sending mail to it, exporting it and printing labels.

Search Criteria

When you select the Lists submenu link throughout IQ, you are presented with a list of search criteria for the module you are in. This criteria allows you to locate an existing list or lists. The available criteria is controlled by the Advanced/Quick link toggle. When using Quick, non-standard purposes will be hidden as will lists types that are related to searches and reports (Draft Search, Search, Report and Cross Tab).  Likewise, IQ will automatically select the standard purpose for modules with multiple purposes when a new list is created, so that you are not prompted to select a list purpose. Toggling to Advanced will return all options for both search criteria and list creation. This setting applies to Lists for all modules, so for example, when you select Advanced in People Lists, Advanced will be selected in Lists for all other modules.

The search criteria for Quick and Advanced includes the following options:

Search For

This field defaults to the module you are currently in. If you want to search for a list in another module, click in this field and select the module.

Purpose

When lists are created in IQ, they are assigned a purpose. You can limit the search results to lists that have the same purpose by selecting the check box next to the purpose. The list of options displayed here will vary depending on the module you are searching in and whether or not you are using the Quick or Advanced search.

List Type

Allows you to limit the search results to lists that have the same type: Criteria, Draft Search, Personal, Search, Split, Report, Merged, Cross Tab or Converted. The check boxes in this section are sticky, so when you log out of IQ and back in, IQ remembers which types were selected. Note: Draft Search, Search, Report and Cross Tab are available when you click the Advanced link.

List Name

You can search for a list based on its name. Click in the first field and select Contains, Starts With, or Ends With to find all list names containing, beginning with or ending with the string you enter in the second field. These string searches are not case sensitive. If you know the EXACT name of the list, select Exactly in the first field and then type the entire list name in the second field.

Description

You can search for a list based on its description. Click in the first field and select Contains, Starts With, or Ends With to find all lists containing, beginning with or ending with the string you enter in the second field. These string searches are not case sensitive. If you know the EXACT description of the list, select Exactly in the first field and then type the entire description in the second field.

Users

This field defaults to your IQ user name. If you want to search for lists that are owned by ALL IQ users, then click in this field and remove your name. If you want to limit the search to a specific user or users, click the lookup icon and select one or more users for entry in the field.

Dates

You can search for lists based on their created, modified, executed, or expiration date. Enter the beginning date that you want to search in the From field by typing a date in the field or by clicking the calendar icon next to the field and selecting a date from the calendar that appears. Enter the ending date in the To field in the same way. If you leave the To field empty, the search finds all lists with dates from the one in the From field to the current date. If you leave the From field empty, the search finds all lists with dates before and on the one in the To field. If you enter more than one range of dates, lists must meet all date criteria in order to be located with the search. For example, a search for lists created from 6/1/08 to 7/1/08 and lists with modified dates from 6/1/08 to 7/1/08 will locate only those documents that were both opened and modified during the month of June.

Run Time

IQ records the number of seconds that it takes for each list to execute. This field allows you to locate lists based on a range of time (in seconds). Enter the beginning number in the From field and enter the ending number in the To field. If you leave the To field empty, the search finds all lists with a run time greater than or equal to the one in the From field. If you leave the From field empty, the search finds all lists with a run time that is less than or equal to the one in the To field.

Record Count

Each list results in a record count when the list is executed. This field allows you to locate lists based on a record count range. Enter the beginning record count in the From field and enter the ending count in the To field. If you leave the To field empty, the search finds all lists with a record count that is greater than or equal to the one in the From field. If you leave the From field empty, the search finds all lists with a record count that is less than or equal to the one in the To field.
