Running Address Checker on a List

Address Checker is an Intranet Quorum utility that allows verification and standardization of mailing addresses within the United States according to US Postal Service CASS standards. IQ uses third-party software approved by the Postal Service to provide this functionality.

In addition to using Address Checker when you enter an address in a People record, you can update addresses in existing People records by running Address Checker on single or multiple lists of any type. This process checks each address against the Postal Service nationwide address range file, which is stored on your server, and changes the People record street address, Zip code, Zip+4, Postal carrier route, Congressional district, and county to match that in the address range file. IQ provides the option to run Address Checker immediately or later. Note: If the selected list or lists have a count of 10,000 records or larger, it is recommended that you run Address Checker in the background.

To run address checker on a list immediately:

  1. Create or search for the list or lists on which you want to run address checker.

  2. On the Lists Search Results page, select the check box next to the list or lists you want to check and select the Check Address action.

  3. The Address Checker dialog appears with the selected list(s).

  4. Select the Submit button to go to the List Address Checker Options dialog. Note: This option is only recommended for lists that contain less than 10,000 records.

  5. Select an Address Type option to identify which type of address to update. Note: IQ displays the Current Address Checker settings that are selected for your IQ system.

  6. Click the Go button to begin Address Checker.

  7. Click OK to confirm that you would like to run Address Checker on all selected records.

  8. IQ displays the Address Checker Results page with all of the records in the select list. Records selected have address information that will be changed. Records that are not selected either match the Postal Service address and show No Change in the Result column, or they contain an error (an invalid Zip code or an address that does not find a match in the range file). The error appears in the Result column.

  9. Click the Save Address Changes button at the bottom of the page. This action changes all selected records by replacing the address shown in the Current Address column with the one shown in the Address Checker column.

  10. Click the OK button when you're notified that the address changes have been saved.

To run address checker on a list in the background:

  1. Create or search for the list or lists on which you want to run address checker.

  2. On the Lists Search Results page, select the check box next to the list or lists you want to check and select the Check Address action.

  3. The Address Checker dialog appears with the selected lists.

  4. Select the Background button to go to the Execute Address Check Background Job dialog page. Note: This option is recommended for lists that contain 10,000 records or more.

  5. Select an Address Type option to identify which type of address to update.

  6. Enter or select a date that you would like to run Address Checker in the Date to Run Address Check field.

  7. Type the time that you would like Address Checker to begin in the Time to Run Address Check field. Note: Leave the Date and Time fields blank if you would like to run Address Checker on the current date and time.

  8. Click the Execute button to begin the background job. IQ will display the Address Checker background job number along with the date time and time that it is scheduled to begin.

  9. Click the Close button to close the Execute Address Check Background Job dialog.

To view the results of address checker for a list which ran in the background:

  1. Click the My IQ tab and click the Background Jobs submenu link.

  2. Select the Show All Jobs for All Users action.

  3. A list of all background jobs for all users appears with the Job ID, Owner, Title, Scheduled Date and Time, Status and Log.

  4. Click the Log link in the Log column for the Address Checker background job that you want to view the results for.

  5. IQ displays the Address Checker Results page with the Address ID, People ID and Orig Address. Click the link in the Address ID column to go to the Addresses panel in the People record to view the updated address.

  6. Click the Close button to close the Address Checker Results page.

When you run Address Checker immediately, IQ displays the Address Checker Results page. When running Address Checker in the background, IQ stores the results in a log. Only records with a check in the check box to the left of the record will be updated. The Current Address is the original address contained in the People record. The Address Checker Address is the Postal Service address with updates and street address abbreviations or expansions. Each record will show one of the following results in the Result column:

No Change – No changes will be made to the People address. The Current Address (the one in your database) and the Address Checker Address match. The address is correct by postal standards. These records are not selected for updating.

No Error – Minor changes will be made to meet postal standards, normally to use standard abbreviations and expansions. These records are selected for updating.

Invalid ZIP/Postal Code – The ZIP Code is not valid; it is not in the Address Checker database. These records are not selected for updating.

Range Error – The address is not found in the Address Checker range file. These records are not selected for updating.

Unknown Street – The street is unknown for the ZIP Code provided.
