Sending Targeted Mail to a List

There may be times when you want to "target" people who have a common interest or follow up with everyone who has contacted your office about a particular issue. To do this, you can create a targeted mailing by selecting a group of People from your database and assigning the same mail record to all of them. The mailing can be printed or sent via e-mail.

To create a targeted mailing:

  1. Create a list of the people who will receive the letter.

  2. On the Lists Search Results page, select the check box next to the list.

  3. Select the Add Mail action and click the Submit button to go to the Create Targeted Mailing dialog page. If you want to exclude People records that contain affiliation codes with popup messages, select the check box next to each code you want to exclude. The number of records containing the code along with the code and its translation appear next to the check box.

  4. Click the Create Mail button.

  5. Complete fields on the Targeted Mail page, selecting the letter date, text, and any other information you want to assign.

  6. Send the targeted mailing by selecting the Print Finals action to print the letters now, the Send All E-Mails action to send the letters via e-mail, or the Add to Batch action to place the letters in a batch for later printing.

For a targeted mailing, a single mail record is created and attached to all selected People records. When you access that mail record, either through one of the People records it's attached to or directly from a mail search, you can view a listing of all People records to which the letter was sent on the People panel.

Note: It is a good idea to limit targeted mailings to a manageable size. You can split larger lists and create separate targeted mailings for each list. Also, the efficiency with which targeted mailings are processed &endash; whether creating outgoing e-mails or printing paper mail &endash; is significantly affected by the Cache Size for Mass E-Mail Processing and Default Buffer Size for Printed Mail settings in the System Configuration settings for IQ.  Please discuss these settings with your IQ administrator or IT Consultant when planning targeted mailings.

Detaching a People Record from a Targeted Mailing

If after creating a targeted mailing your office decides that a specific people record should be removed from the targeted mailing before sending it, you can use Detach Person to remove it.

 

To detach a People record from a Targeted Mailing:

  1. Search for the record you want to remove from the targeted mailing.

  2. When the record appears on the Search Results page, click the name link in the Full Name column to display the record on the People Record page.

  3. Click the Mail tab and locate the targeted mail record under the Pending Mail section. Click the ID link to display the targeted mail record.

  4. Select the Detach Person action.

  5. Click OK to confirm that you want to detach the person from the targeted mailing.

  6. Select the Close action to return back to the Search Results page.
