Exporting a People List

Intranet Quorum lets you export a list of People records and send them to a file in your choice of formats: ASCII comma-quote delimited, tab delimited, MS Excel, or MS Word. You can choose which standard IQ fields and custom People or Address fields to export to the file and whether to use the Primary Address, Home Address or Business Address.

To export records from an existing IQ People list:

  1. Click the People module tab and select the Lists submenu link.

  2. Search for the list that contains the records you want to export.

  3. Select the check box next to the list or lists you want to export.

  4. Select the Export List action. IQ displays the number of lists to be exported. If you selected more than one list, IQ temporarily merges the lists into one list.

  5. Click the Submit button.

  6. Enter export information on the Export List page. Select Export Now to run the export immediately in the foreground or select Run Export in Background to schedule the export for a specific date and time.

Fields on this page let you select the output format, the fields to export, and the address to export (Primary, Home or Business).

Output Type – Determines the format and file type of the file created by the export process. Click in this field and select one of the available output formats from the list that appears: ASCII Comma/Quote Delimited, Tab Delimited, MS Excel Table, MS Word Table or IQ Town Hall.

Fields to Export – All possible standard and custom fields that can be included in an export are displayed in the Name Information, Address Information and Communications Types sections.  Check the box associated with each field you would like to have exported.  Clear fields that should not be included.  You can select all fields in each section, by clicking the Check All button and de-select all fields by selecting the Un-Check All button. The fields selected are typically determined by how you intend to use the exported information.

Preferred Address – This allows you to select the type of address (Primary, Home or Business) to be exported. If you select Primary, then the Preferred Mailing Address for each People record will be exported. If you select Home or Business and the People record contains only one address, then that address is exported regardless of whether it is Home or Business. If you select Home or Business and the People record contains both addresses, IQ will export the Home or Business address, even if it is not selected as the Preferred Mailing Address.
