Closing a Workflow

When you complete the final step of a workflow, a dialog box containing all closed Workflow Status codes appears for selection. Once you select the closed status code, the workflow is closed. Note: IQ provides the ability to automatically close workflow records which have been open for a specified period by using WML in the Step Initialization field in the workflow template. When the workflow enters the step which contains the WML, a background job is created to close the workflow at the computed date and time.

To close a workflow:

  1. Search for the workflow you want to close. You can use a Workflow search, or if you know the name of the primary person for the workflow, you can use a People search.

  2. On the Workflow Record page, select the Complete Step action.

  3. In the Closed Status dialog box, select a status code by clicking it to assign the code and close the workflow. Note that if the Route Workflow dialog box appears instead of the Closed Status box, you are not in the final step of the workflow and must route it to the next step.

  4. The message "Do you want to complete all attached mail when closing this workflow?" will appear if there are Mail records associated with the workflow that you are closing if Close All Attached Mails When Completing Workflow is set to prompt.

Once a workflow is closed, all fields including the status are unavailable and cannot be changed. You can view workflow Notes, Comments, and Step Notes, as well as all field information. You must reopen the workflow to make any changes. The following are exceptions to this:
