Once a workflow is closed, you are unable to make changes to it or perform actions from it. You must reopen a closed workflow in order to have access to it. The following are exceptions to this:
If your user-id has access to Security Lock #66, you can change the Close Date of a closed workflow without reopening it.
You can print a closed workflow if the last step contains the Print Summary action.
If the System Configuration setting for Allow Adding Step Notes to Closed Workflows is set to Yes for your office, the Add Step Note action will appear on the General panel for closed workflow records.
If the workflow is closed, the Attach File action is grayed out unless your user-id has access rights to reopen the workflow.
The Attach Workflow and Attach New Workflow action is available on the Links panel for closed workflows if your user-id has access rights to create new workflow.
You can add workflow codes to closed workflows, or remove existing workflow codes, if your user-id has access rights to reopen the workflow.
By default, the Reopen action appears for All users, until your office selects Specified for Reopen Workflow in the Security panel of the Workflow Template Record and selects specific users.
To re-open a workflow:
Find a closed workflow by doing a workflow search or by searching for the People record to which it belongs.
Select the Reopen action. You will be prompted for confirmation.
If this is a one-step workflow, the workflow is opened to the only step.
If this is a multiple-step workflow, the Reopen Workflow dialog box appears for you to select the step to which you want to queue the workflow. Click a step link to queue the workflow to users to whom the step was routed. If you’re one of those users, you are notified that the workflow step is queued to you and given the option to acquire ownership of it. Click OK to acquire ownership or click Cancel to queue the workflow step to all users. Note: If the user associated with the selected workflow step is not an active user, the workflow will be queued to the user that reopened the workflow.
A step note is created indicating that the workflow was reopened, when and by whom. The workflow is now open and available for actions or changes.
Note: If your office has purchased the IQ Archivist module, closed workflow records can not be reopened once they have been declared official records.
