Searching for Workflow - Quick Search

If the workflow you're searching for is open and assigned to you, you'll be able to find it quickly on the My IQ page under My Work. My Work links let you go directly to all your open, queued, and past due workflow, as well as workflow records you opened today.

There are two types of standard searches available for workflow records: a quick search lets you select criteria from a drop-down list of workflow fields and combinations of fields; an advanced search lets you view and select all possible criteria on which you want to base your search. IQ also provides the ability to create and use a custom search for workflow records. Contact your IT Consultant for assistance in setting up this feature.

In addition, you can save your most frequently used search criteria as your default, by clicking the Make Default link. To clear the default, click the Clear Default link.

To perform a quick search for a workflow record:

  1. Click the Workflow tab to go to the Quick Search page for workflow records. The Search Workflows for field defaults to the last criteria you selected. Fields that appear below the Search Workflows for field will vary depending on your entry. Click in the Search Workflows for field to select different criteria. Note: Any Custom Quick Searches, created by you or another IQ user, will appear below "ID" in the Search Workflows for field.

  2. Click the GO button to begin the search and display the results.

If you're not satisfied with the results of your search, click the Modify Search link to modify your search or select the Advanced Search action to use more criteria in your search. You can also use the Modify Search option to add records to those already selected. If you selected records found with the first search, that selection is retained as you modify your search criteria and find and select additional records.

  1. Click the workflow ID link on the Search Results page to display the workflow record.

Quick Search Criteria

Click in the Search Workflows for field to display available criteria selections, which include:  Analyze: Open; Open: Users & Date Opened; Open: Template & Users; Open: Code, Users & Date Opened; Queued: Template & Users; Closed: Users & Date Closed. Once you've selected one of these options, the appropriate fields will appear below the Search Workflow for field. Additional search fields include: Select List; Text; ID and Workflow People. There is also an option to Show Phones on the Search Results. When you select this option, IQ displays the primary communication information (email address and phone numbers) for the associated People records.

Analyze: Open

This search option allows you to analyze your open workflow in a bar graph based on workflow template. Each row in the bar graph contains a magnifying glass icon which allows you to view the specific workflow records in the Workflow Search Results. There is also a paper and pencil icon which displays a list of actions Assign WF Codes, Add Step Note, Update Data Fields, Acquire, Complete Step, Reassign and Delete that you can select from.  

Include Reopen Date

Select this checkbox if you would like to include workflows that were re-opened in the selected Open Date time frame.  The default is to include re-opened Workflows.

Workflow List

You may use a previously selected list of workflow records when searching for workflow records. Click in the field to view the names of all available workflow lists. The number of records in each list is shown in parentheses next to the list name. Click a list name to return it to the field and then click the GO button to display records in the list.

Text

You can search for workflow with a word or text string located in attached files, as well as in the Comments, Notes, and user-defined fields. Select the Text option in the Search Workflow for field. When you select this option, four check boxes appear that let you select where you want to search for the text. If you select more than one of these check boxes, an implied OR search is performed—the index for each is searched individually and then the results are combined.

Type the word for which you're searching in the For field. If you're searching for a phrase, enclose the words in braces { }. Use the following operators to limit your search.

AND

Use AND to search for workflow with at least one occurrence of each term.

budget and taxes
returns all workflow with both budget and taxes.

OR

Use OR to search for workflow with at least one occurrence of any term.

budget or taxes
returns all workflow with either budget or taxes.

NOT

Use NOT to search for workflow with one term and not another.

budget not taxes
returns all workflow with budget but only if they do not also contain taxes.

NEAR

Use NEAR to search for workflow with terms that are near to one another.

budget near taxes
returns all workflow where the term budget is near the term taxes.

ACCUM

Use ACCUM to search for workflow with at least one occurrence of any term and rank according to the number found.

budget accum taxes
returns all workflow with either budget or taxes, but those with both terms will receive a higher numerical ranking and appear at the top of the search results.

When you do a text search, each retrieved record is given a numeric ranking—the higher the score, the more relevant the record is to the text search criteria. The numeric rank appears for each record on the Search Results page and is used for the initial sort of the found records.

ID

If you know the ID of the workflow record you're searching for type it in the ID field to go directly into the workflow record. To find multiple records, separate IDs with commas (7006317, 7006216) or search for a range by entering a hyphen between the IDs (7006317–7006350). Found records appear on the Search Results page.

Workflow People

The Workflow People field allows you to find workflows that contain an associated People record. Click in this field and type one or more names each on a separate line. If you enter more than one name, IQ will perform an OR search. You can also click the lookup icon to search for People records using your default People Quick Search on the Select People for Workflow Search dialog. Click the Primary People Only checkbox if you want to limit the search to People records that are marked as Primary. Select the Show Phones checkbox if you would like the search results to display phone numbers for the People records.
