Adding a Workflow for a People Record

When your office receives a request that you want to track through workflow, you can attach a workflow record to the record of the person making the request.

To create a new workflow through a People record:

  1. Search for or add the People record.

  2. On the People Record page for an existing record or the New Person page for a new record, select the Add Workflow or Add Default Workflow action. The Add Workflow action lets you select a template from a list of active workflow templates; the Add Default Workflow uses the default template that's set in your user Preferences and only appears if you've set a default. In addition, if you entered the template name in the Default Template Label field in your user Preferences, then the Add Default Workflow action is replaced with "Add <Default Workflow Template>" (i.e. Add Citizen Request).

Note that you can also create a workflow for multiple people by selecting the check box next to their names on the Search Results page and then selecting the Add Workflow or Add Default Workflow action. This attaches all selected People records to the new workflow.

  1. Enter information in fields on the Workflow Record page.

  2. Enter workflow or step notes by selecting the Add WF Note or Add Step Note action.

  3. Send mail, if required, to people or agency contacts by clicking the appropriate tab. Note that you can send mail to the primary person by selecting the Add Mail to Primary action on the General panel of the workflow record.

  4. Select the Save and Close action to save and close the new workflow record;

OR

select the Complete Step action to complete this step and route to the next step;

OR

select the Reassign action to queue the first step to another user or users.

The People record or records for which you've created the workflow appear on the People panel of the workflow record. The People record for whom you've created the workflow is automatically designated as the primary person. If you create a workflow for multiple People records, no primary People record is designated.
