Printing Letters from a Batch

Once you have created a letter batch, either by adding letters individually or using a select list for a targeted mailing, you can print some or all of the letters in the batch. The mail record must have a status of Approved in order for the letter to be printed. Note: Contact your Lockheed Martin ITC or PM for assistance with setting up printing in IQ for non-IE browsers.

To print all or selected letters in a batch:

  1. Click the Mail tab and click the Batches submenu link to go to the Quick Search page for batches.

  2. Search for the batch you want to print by performing a quick or advanced search. Found batches appear on the Search Results page.

  3. Click the batch name link to go to the Full Batch page, which lists all letters in the batch. There you can use the Filter Results action to further refine the selection of letters you want to print. Filtering lets you use advanced search criteria to find specific records within a batch. For example, if the batch is one with mixed outgoing methods, you might want to filter for those records with an outgoing method of US Mail before you print the batch.

  4. Select the check box next to the letters you want to print or click the Select All link to select all letters. The Status column indicates the mail record. Only Approved mail can be printed in final. The checked-out icon (a letter with a red check mark) appears next to any letters in the Letter Name column that are checked out of the server. You will be unable to print letters that are checked out.

  5. Select the Print Final action. The Print Final and Close Letters dialog box displays how many of the letters in the batch are available for printing. A listing of those that cannot be printed appears with an explanation—letters that are checked out or not approved; mail that's not approved, has no letter assigned, or has the wrong method (for example, records with a type of E-Mail cannot be printed). IQ will also display those mail records that have incomplete addresses along with an option to "Allow incomplete addresses to be printed" if Restrict Letter Printing if Postal Address is incomplete is set to Yes in your System Configuration settings.

  6. The Sort order defaults to Name. Click in the Sort field and select the order that you would like the letters to print. Note: If you would like to print the letters in the same sort order that they appear on the Full Batch page, select Current Sort.

  7. The Location field defaults to what is set in your user Preferences. Click in the field and select another location if you do not want to use your default.

Select the Decollated checkbox if you would like to print of all the first pages together, then all of the second pages together and so forth. The Decollated option is only available when printing to a printer, it is not available for Download via Active X or Word.

Select the Print Envelopes checkbox if you would like to print envelopes along with the letters. Note that this is already selected if you selected one of the "+ envelope" printers in your user Preferences.

  1. Click the Print button in the dialog box to print all Approved letters in the batch.

If you selected a printer in the Location field, the letters are printed there.

If you selected Microsoft Word via Download in the Location field, IQ launches a new browser session and displays the letters. Click the browser’s Print button to send the letters to your default printer or select Print from the browser's File menu to view and change the default printer. Close the browser window when you've sent the letters to the printer.

The status of all batched letters that are selected for final printing is changed to Completed. You can view print history for a specific batch on the Full Batch Page. In addition, you can create a Mail List or Custom Report to search for or report on the last printed date.
