Adding Mail to a Batch

Intranet Quorum uses letter batches to print correspondence. A batch consists of letters that are grouped together and given a batch name because they have something in common. The common element can be very specific or very general¾it's entirely up to you. You can add letters with non-approved form or customized letters, but those letters cannot be printed as part of a batch until they are approved and checked in.

To add mail to a new batch:

  1. Complete the required fields in the Mail Record page.

  2. Click the lookup icon next to the Batch field. IQ displays the Select/Add to Batch dialog.

  3. Select the Add a new batch radio option. IQ displays fields for Batch Name and Description.

  4. Enter the new batch name (up to 75 characters) in the Batch Name field. You may also include a description of the batch in the Description field.

  5. Click the Add to Batch button to close the dialog and return back to the Mail record page.

  6. Save and Close the Mail record page.

To add mail to an existing batch:

  1. Complete the required fields in the Mail Record page.

  2. If you previously added a Mail record to a batch and want to add this Mail record to the same batch, then click the Last Batch link located to the right of the Batch field. IQ displays the name of the last batch in the Batch field.

OR

Click the lookup icon next to the Batch field. IQ displays the Select/Add to Batch dialog with the following options:

Select from all active unlocked batches - Select this option for a list of all open and active batches for all IQ users. You can filter the list by batch name or owner. Select the batch name by highlighting it.

Select from only recently used batches - Select this option for a list of batches that you have used during your current IQ login session. You can filter the list by batch name or owner. Select the batch name by highlighting it.

  1. Click the Add to Batch button to close the dialog and return back to the Mail record page. IQ displays the selected batch in the Batch field.

  2. Save and Close the Mail record page.

Once you've finished adding letters to a batch, you can print the batch.
