Using Intranet Quorum

When you launch Internet Explorer and log on to Intranet Quorum, you access your office's database The data structure used to store organized information. IQ uses a relational database, which allows users to access, update, and search for information based on the relationship of data in one database to another. through Web pages. For optimal IQ functionality, it is recommended you use Internet Explorer. In addition, to maximize the amount of information you can view on a Web page and to minimize scrolling, it is recommended that you set your screen resolution How many pixels a monitor can display or how fine a printer can print. A monitor's resolution is indicated by a number such as 1,024 x 768, which means there are 1,024 pixels horizontally and 768 pixels vertically. The higher the resolution, the more that can be displayed on the screen. Printer resolution is measured in dots per inch (dpi). The greater the dpi, the better the image clarity. to 1280x1024 (or 1280x800 for widescreen laptops). You can use a lower resolution (to increase the text size), however, this reduces the amount of information that appears on your screen and may require you to use the scroll bar to view unseen information.

By default, IQ uses Internet Explorer's default text size of Medium. You can increase the text size in IQ by selecting IE's Page and Text Size and then selecting Largest or Larger. Likewise, you can decrease the text size in IQ by selecting Smaller or Smallest. While changing the text size from medium will no longer provide the intended visual style, it may prevent the need to use the scroll bar if you are using a lower than recommended screen resolution.

Internet Explorer pages contain title bar, menu bar, and tab bar that provide options and let you move from page to page. Additionally, Intranet Quorum provides Utility Bar, Themes, Module Bar, My IQ, Explorer Pages, Record Pages, Actions, Links, and Buttons that let you access and perform functions within the different areas of IQ.

IE Title Bar

The title bar A bar at the top of a Windows page that dieplays the title of the open window or page. at the top of the page identifies your current IQ page. The title bar has an application control menu icon A small picture or image that represents an object, a folder, or a program. Clicking or double-clicking icons launches programs, opens windows, and executes commands. on the left and sizing buttons and a close button on the right. The control menu icon contains Windows-standard commands for displaying your desktop application. You can open the control menu with a mouse click or with ALT+Spacebar keystrokes.

The sizing buttons are also Windows-standard. With these buttons, you can minimize, maximize, and restore Internet Explorer or any application that's open on the desktop. When you open an IQ page, a button containing the page name from the IE title bar appears on the taskbar at the bottom of your screen.

IE Menu Bar

The Internet Explorer menu bar is just below the title bar. It shows the names of the IE menus that are available. Each menu contains a set of options that you can choose to trigger actions or perform functions. Click a menu name to display all options associated with it.

IE Tab Bar

The Internet Explorer tab bar allows you to view multiple web sites in a single browser window. When you have multiple web pages open at once, each one is displayed on a separate tab. These tabs make it easy for you to switch between open web sites, pages or links by clicking the tab.

Utility Bar

IQ's utility bar resides in the heading to the right of the IQ logo. The utility bar contains Alerts, System Warnings, My Links, Recent, Themes, Preferences, Help, Exit and Universal Search. In addition the Utility Bar may also contain an IQ4 link which allows you to switch to the IQ4 User Interface. Note: You can change the alignment of the Utility Bar by selecting Left or Right in the Themes menu.

Recent

This menu displays the last 10 records (People, Mail, Documents, Workflow, etc.) that you have accessed in IQ.

Themes

The options on the Themes menu allow you to customize the appearance of IQ by selecting the colors used on your IQ pages, the size and location of page elements, and other options. Selected menu options appear in gray and other options appear in blue. The default settings for Themes are Classic Color, Small Heading, left-aligned Utility Bar, Large Menu Height, Dropdown Submenu Hover, Medium Actions Style, Follow Actions Docking, Hidden Disabled Actions, and Grid Lines Shown. Note: The options you select in Themes will follow you to each workstation you use to log into IQ.

The following options are available on the Themes menu:

Color Options include Classic, which uses the same colors as previous versions of IQ, Blue, Gray or Red. The color you select here will be used in the IQ Module Bar, Actions Menu, Record pages and Search Results.

Heading Select Large to increase the size of the IQ logo and place the Universal Search on a second line. Select Small to keep the Utility Bar on one line.  

Utility Bar Select Left or Right to align the utility bar with the left or right hand side of the IQ heading.

Menu Height This setting allows you to control the size of tabs in the IQ Module Bar as well as Record pages.

Submenu Hover This setting allows you to choose the way the submenu of the selected IQ module will appear. The Dropdown option displays the submenu as a drop-down menu, which allows you to make an immediate selection.  If no selection is made, the Search submenu activates. The Inline option displays the submenu across the page and allows you to switch to another module without first clicking the module.  

Actions Style This setting allows you to control the size of each action in the Actions menu. Select Large or Medium if you would like each action to appear inside of a colored box. Select Text to display just the action text without a colored box.  

Actions Docking Select Follow if you would like the Actions menu to move up and down the page as you scroll.  Select Docked if you would like the Actions menu to remain stationary at the top of the page when you scroll up and down the page.  

Disabled Actions When working with a Search Results page, many actions are unavailable until you have selected one or more records.  The Show option will display the unavailable actions before you have selected records.  The Hide option will only show the currently available actions.  

Grid Lines The Show or Hide options allow you to choose whether the grid lines separating data on the Search Results page are visible or not.

Universal Search

The Universal Search allows you to select a module and perform a People search by name or ID, or the Documents search allows you to search for a word or phrase in the title or contents of any Document or Form Letter.  Select the module in which you would like to search by clicking in the universal search field and selecting the appropriate icon: People, Mail, Workflow, Documents or Calendar. The selected icon will be highlighted.  Enter the name of a citizen as found in People, as a Correspondent in Mail, as a Primary Person in Workflow, or as an attached Person in Calendar and click the Go button.  No matter what module you are currently working in, you will get search results from the module you chose.  You may also enter a People record ID to search for in any of these modules.  For a Documents search, enter a word of phrase that appears in the name or contents of any document or form letter record.  

IQ Module Bar

A module bar appears at the top of every Intranet Quorum page to provide access to all IQ modules. Click a tab to go to that module. Most modules open to a Quick Search page.

Submenu

When you click a module tab, a submenu appears that contains links to areas within that module. For example, the My IQ module provides submenu links for the My IQ home page, My Work, Alerts, Dashboards, Announcements, Background Jobs and My Links. Most modules provide submenu links for accessing records, managing lists, running reports, and maintaining codes for the module. Note: You can choose to display the submenu as a drop-down menu or an in-line menu bar by clicking Themes and selecting Dropdown or Inline.

My IQ

The My IQ home page appears when you log onto Intranet Quorum. You can control the content and layout of the My IQ home page by selecting which sections (i.e. web parts) you would like to appear on your home page. By default, the My IQ page contains the following web parts: Search People, Document Directory, Top Issues and Workflow and Recent People Mail and Workflow in the first column, Announcements, My Schedule, and My Work in the second column, and My Links in the third column.  

Explorer Pages

IQ Explorer pages let you search for records in a module. The Quick Search page is the default page for most modules, and it provides pre-defined criteria for use in the most common searches for the module. The Advanced Search page provides additional search criteria, most often all available fields for a module. With an advanced search you can execute a search that uses multiple fields and multiple selections for a field. The Search Results page shows the results of both Quick and Advanced searches. This page provides information about each found record, a link to the record, and a check box next to each record so that you can select multiple records and perform a single action on all. If you select multiple records and then select the Edit action, IQ displays a Previous and Next arrow in the upper left hand corner of the record so that you can view the next selected record or return back to a previously viewed record.

You can change the number of records that you want to appear on a Search Results page by typing it in the # per Page field below the title. Note: IQ will retain the number you enter for each Search Results page for the current and future IQ login sessions. Use the scroll bar or the DOWN ARROW key to move to the bottom of the page. Click the > link or press the Page Down button to view the next page; click the < link or press the Page Up button to view the previous page. To go to the end of the list, click the >> link; to return to the beginning of the list, click the << link. Links are unavailable if there are no additional pages or if you’re at the end or beginning of the list. To skip to a page, click in the Go To Page field and select the number of the page you want to go to.

You can select individual records on each page by selecting the check box next to them, or you can click the check mark icon (located above the check box column) to select all records on the current page. Optionally, you can select a range of records by placing your mouse in the check box column and then click and drag your mouse cursor to select records. To select all found records on all pages, click the Select All link. To clear all selected records, click the Clear All link. The number of records you've selected appears in red at the top of the list. Click the Show Selected link to view just the selected records.

Record Pages

Record pages contain all information about a record. The information is displayed on multiple panels. Each panel is identified with a tab containing its name. Click a tab to go to that panel. For example, on the People Record page, click the Address tab to go to the Address panel and view all addresses for that person. You can also use shortcuts to go to different panels. Press ALT+2 to go to the second panel, ALT+3 to go to the third panel, and so forth. Note: If you are using IQ with Mozilla Firefox, then the shortcut to open each record panel is ALT+Shift+# (i.e ALT+Shift+1). You can use ALT+J to jump to the first field of each titled section in a record page.

Record pages, that contain the HTML editor, have a "keep alive" loop to keep those pages active when content has been added or changed but not saved.  The keep alive overrides the timeout setting in your IQ System Configuration Settings, reducing the likelihood of a user losing edits due to a timeout.

When you use an Add action to create a new record, the record exists even if you close it without making any changes. Closing the record with the IE close button or IQ Close action does not exit an unchanged record, in effect canceling its creation. If you create a record by mistake, use the Delete action to remove it.

If you select multiple records and then select the Edit action on the Search Results page, IQ displays a Previous and Next arrow in the upper left hand corner of the record so that you can view the next selected record or return back to a previously viewed record.

Actions

All actions that are available for Search Results and Record pages appear in a menu pane at the left of the page. Actions are grouped together in sections based on the type of action. For example, all of the "Add" actions are typically grouped together at the top of the menu. For Record pages, the actions for Save, Save and Close, Close, Refresh, History and Record Security are displayed as icons at the top of the Actions menu. In addition, a large red X is available in the upper right hand corner in record pages for closing the record. IQ will prompt you to save any unsaved changes.

By default, the actions pane scrolls along with the Search Results and Record pages in IQ. If you prefer that the actions pane remain stationary, select Docked for the Actions Docking setting in the Themes menu. In addition, you can control whether or not unavailable actions are displayed in the Actions menu by selecting Show or Hide for the Disabled Actions setting in the Themes menu. Tool tips appear for each action when you point your cursor at it. Some actions have shortcuts indicated when one of the characters in the action name is underscored. To use a shortcut, hold the ALT key and press the underlined key to go to that action and then press the ENTER key to execute the action. For example, press ALT+C and ENTER to save and close a record.

Note: You can press ALT+Z to go to the first action in the list. Pressing the TAB key will move from one action to the next.

History Action

A History action appears in the Actions pane of most IQ pages. You can select this action to view a History Log of searches you have performed and records you have accessed over the past ten days, up to 1,000 entries. The log provides links to records, which lets you quickly return to a record that you worked on in the past ten days.

Links

Links are underscored words or phrases that open another page, often a record. Links appear throughout Intranet Quorum. Click the link to access the page or perform the function indicated.

Buttons

Buttons appear on Intranet Quorum pages to let you perform functions associated with those pages. To select a button function, click the button or use the shortcut key if there’s one available. Shortcuts are indicated by an underlined character on the button. Hold the ALT key and press the shortcut key to perform the function. For example, press ALT+S to save.
