Monitoring a Workflow

You can monitor a workflow to keep track of its progress until either the workflow or its current step is complete. A link to your monitored workflows appears on the My IQ and My Work pages. Click the Monitored Workflows link to display all workflows you are currently monitoring.

To add a monitor:

  1. Search for the workflow or add a workflow you want to monitor.

  2. Select the Monitor action in the workflow record.

  3. In the Edit Workflow Monitor dialog box, select the option to indicate how long you want to monitor the workflow. The default option is to monitor the workflow until it is complete. You can also choose to monitor it only until the current step is complete.

  4. Select the Alert on Status Change check box if you want to be notified every time one of the following occurs: ownership of the workflow is acquired, ownership is released, the workflow is reassigned, a step is completed, or the workflow is completed. Notification will be in either the form of an IQ Alert or, if the User ID for the recipient is set up to forward notification messages, to an outside e-mail address.

  5. Select the users who are to monitor the workflow. These users are also alerted to status changes. Other users or groups can be entered in the fields provided, separated by semicolons. You can also click the search icon to select from a list of available users and groups.

  6. Type information in the Alert Text field that you would like IQ to include in the alert message This field is limited to 3,800 characters and is sent along with a link to the workflow when the workflow is completed or the current step is completed.

  7. Click the Add button to save the Monitor.

  8. Click the Close button to close the Edit Workflow Monitor dialog box.

To remove a monitor:

  1. Search for the workflow.

  2. Select the Monitor action.

  3. Select the check box next to each Monitor you want to remove.

  4. Click the Remove button to remove the selected Monitors.

  5. Click the Close button to close the Edit Workflow Monitor dialog box.

When you select other users or groups as monitors, their names do not appear in the Users or Groups fields after you save the Monitor. You cannot remove other users as Monitors. Users can only remove themselves.
