Searching for Sets - Results

When you search for and find a set, the records in the set appear on the Full Set page or, if you've filtered the full set, on the Partial Set page. The number of records found appears in the page title. Each record is numbered sequentially, and the sequential number is shown in the # column. The number of records appearing on one page is shown in the # per Page field below the title. To change this number for the current and future search results, clear the field, type a different number, and press the TAB key. IQ will retain this number until you change it or your System Administrator resets it using the Configure link.

If you don't find the set you're searching for, click the Modify Search link at the top of the Search Results page to change or add search criteria. To save the search results as a My Link click the Save Search link located at the top of the Set Definition Search Results or Full Set pages.

You can re-sort full and partial set records by clicking the Detail ID, Entered Name & Address, Entered date or Set Info, Mail Comments or Issues column heading. If there is more than one issue code, IQ will sort by the first selected issue code. The selected column sort is retained until you change it. For E-Mail sets, you can also sort by the e-mail subject by clicking the Subject or the e-mail file name by clicking the Message File column headings. For Digital Mail sets, you can sort by the image .tif file name by clicking the Image File column heading.

Use the scroll bar or the DOWN ARROW key to move to the bottom of the page. Click the > link or press the Page Down button to view the next page; click the < link or press the Page Up button to view the previous page. To go to the end of the list, click the >> link; to return to the beginning of the list, click the << link. Links are unavailable if there are no additional pages or if you’re at the end or beginning of the list.

The Full and Partial Set pages show the name and address for each entered record in the Entered Name & Address column (for Manual, Import and Opinion sets) and Sender Name & Address column for E-Mail and Digital Mail sets. This information is taken from the e-mail or digital mail record, or if the record was manually entered, this is the information that was entered. Click the name or e-mail address link in this column to display the information for this record. The second column, Selected Name & Address, displays the People record that was selected (either automatically for E-Mail and Digital Mail sets or by the user entering the data for manual and phone sets). If no record was found to match, the new name and address that will be added appears along with a New icon to the right of the name. The Entered column shows the date on which the record was added to the set and the Issues column displays the selected Issue Code(s) for sets that create mail.

For E-Mail sets, a Subject column appears that contains the subject line of the incoming e-mail message. If your office has configured IQ to analyze incoming emails and suggest letters based on completed mail, then the Subject column will also contain the percentage, letter name and issue code.  The Custom Info column contains the contents of the <CUSTOM1></CUSTOM1> tags for formatted email. In addition, the Set Info column displays the Rule ID that IQ used to process the e-mail. Click the Rule ID link to see the contents of the IMA Rule. Select the Detail action to display the e-mail message below the name and address row. Click the paper clip icon in the Subject column to open the e-mail viewer. The Detail view also contains a hyperlink to the outgoing e-mail message and the file with the reason why the outgoing e-mail failed. Select the Summary action if you do not want to display the e-mail message or attachments. For Digital Mail sets, an Image File column appears with a link to the scanned image and a field containing the scanned data.

You can customize the display of the Full Set page by selecting columns to Hide or Show. A plus sign (+) appears when you place the mouse cursor above a column heading, if the column can be hidden. Right click and select the column name in the pop-up to hide the column. To display the column, right click in a column heading and a list of hidden columns will appear. Select the check box for the column names that you would like to display and click the Show button. Your settings for hidden columns will remain until you change them.

The Actions panel at the left of the page displays all available actions for records in the set, however, some actions are unavailable until at least one record is selected by clicking in the check box next to it. The Change Data/Status action lets you post selected records to the database and add them to a batch. This action also lets you change issues, user, letter name, letter date, or outgoing method for selected records. Use this action to route records to users for action. Actions are also available for changing affiliation codes, changing agency contact, changing people data, editing or deleting records, and filtering the search results.  

Use the Range Select action on the Full and Partial Set pages to select a specific range of records based on the sequential number displayed in the # column. Type the first number in the From field and the last number in the To field on the Range Select dialog box page and click the Submit button. The Set page will re-display with a check next to each record in the range. Click the Show # Selected link to display the records in the range select.

Use the Analyze All By... link at the top of the Full or Partial Set page to quickly analyze all of the records in the Set by providing a list of fields at the top of the search results page. When you click a field link, IQ displays the results in a bar graph in a new window. For each row in the graph, you can click the magnifying glass icon to view a list of the analyzed Set records. In addition, you can click the paper and pencil icon for a dialog of actions which can be applied to the selected row of analyzed Set records.
