You can change People record information in Set records at any time prior to posting the records. This may include correcting a typo in the People name or address, adding a new address, phone or email address, searching for another People record or moving a set record to another household.
To change records in a set:
Search for the set containing the records to be changed.
Click the Select All link at the top of the Full Set page to select the check boxes next to all records in the set. If you want to update specific records, select the check box next to those records. You can also filter the set to find specific records.
Select the Edit action to open the first selected record in the set.
Make changes to the record or click Search Again to search for an existing people record.
Select the Next action to close the current record and open the next selected record. If you've made changes to the record and did not select the Save action, you'll be prompted to save your changes. Select the Close action at any time to close the current record, exit the editing session, and return to the Full Batch page.
To add a new address, phone or e-mail address:
Search for the set containing the records to be changed.
Click the ID link in the Detail ID column or the name link in either Name & Address column to access the Set Detail or People record.
Select the New Address, New E-Mail or New Phone action. Note: These actions only appear if your IQ user-id has been granted access to Security Lock #3 (Modify People).
Enter data in the new address, email or phone field.
Click the Save and Close action to return back to the Full Batch page.
To change data in People records:
Search for the set containing the People records to be changed.
Click the Select All link at the top of the Full Set page to select the check boxes next to all records in the set. If you want to update specific records, select the check box next to those records. You can also filter the set to find specific records.
Select the Change People Data action.
Click in the Change Value field and select the field that you want to update.
Type the value that you want to update in the From field or leave it blank if you want to add a new value.
Type the new value in the To field or leave it blank if you want to remove an existing value.
Click the Save button and click OK to confirm.
Note: The From and To values are case and punctuation sensitive. For example, if you enter Mr. in the From field, IQ will not update the values Mr, MR., MR, mr or mr. So you may have to perform multiple updates in order to update all of the different values in your IQ database. In addition, if you update the District, Precinct, City or County fields, IQ will update the matching value in ALL addresses for the selected People records.
To move a set record to another household:
Search for the set containing the record to be moved to another household.
Click the name link in the Entered Name & Address column.
Select the Search Again action and remove the Prefix and First Name in the Name and Address field.
Click Go. IQ displays a list of possible matches with the same last name and address.
Click the Move button next to the People record whose household matches.
IQ automatically updates the Household Salutation and Household Name fields in the Set Detail Record page to match the selected record's Household Salutation and Name.
Select the Save and Close action to save the changes and return back to the Full Set page.
IQ automatically refreshes the Full Set page and displays the Household ID under the name link in the Selected Name & Address column. Place your mouse on the name link to see the other member(s) of the household.
IQ automatically creates a new People record when it does not find a match for the name, address and/or email address in an incoming email in an E-Mail or Import set. If you believe there may be a matching record in your People database, you can use Search Again to search for it.
If you find a match, you can select it to use in place of the NEW People record in the set. Any new data from the incoming email (such as a new e-mail address or phone number) will be merged into the selected existing People record. Note: If an existing People record is chosen in an Import or E-Mail Set as a result of Search Again, the new People record that was created by IQ will be deleted, as long as no activity has taken place on the new record.
If Search Again does not locate an existing People record, you can create a new one by selecting the NEW button on the search results page.
