Attaching Workflow Records to an Event

When an event is related to a new or existing workflow, you can attach the workflow record to the event. You can also create a new workflow from an event. This links the workflow to the event and lets you access it directly from the event.

To attach a new workflow to an event:

  1. Add a new event, access an event on the Daily Schedule page, or search for an event.

  2. In the event record, select the Add New Workflow action. Note that this action appears only for existing records. If you want to add a Workflow record to a new event, you must first Save and Close it.

  3. The message "Click OK to attach all associated people of this event to the new created workflow." will appear if there are people records attached to the event.  

  4. Click a template link in the Select Template dialog box. The new workflow record appears on the Workflow panel.

  5. Click the Workflow ID to go to the Workflow Record page.

  6. Enter appropriate information in fields on the Workflow Record page.

  7. Select the Save and Close action to save and close the Workflow record. Or if you want to return to the event, click the Save action, then go to the Event tab and click the event description link.

To attach an existing workflow to an event:

  1. Add a new event, access an event on the Daily Schedule page, or search for an event.

  2. In the event record, select the Attach Workflow action. Note that this action appears only for existing records. If you want to attach a Workflow record to a new event, you must first Save and Close it.

  3. Search for the workflow you want to attach to the event by selecting an option in the Search for field, or use an Advanced Search.

  4. Select the check box next to the workflow record you want to attach and click the Attach button at the bottom of the page. Information about the workflow and a link to it appear on the Workflow panel.

You can attach as many workflow records to an event as you want. The workflow status, ID, codes, assigned, due date, open and closed date, and priority of the attached workflow records appear on the Workflow panel of the event record. Click a workflow ID link on that panel to go to the workflow record. Note that if record security is turned on and the user does not have access to the attached workflow, then "Secured Record" will appear on the Workflow panel. When you attach a workflow record to an event, an event link appears in the Workflow on the Event panel so that you can also access the event from there.

To detach a workflow from an event, select the check box next to the record on the Workflow panel, select the Detach Workflow action, and click OK to confirm the action.
