Attaching Multiple Mail Records to a Workflow

When you send mail from within an existing Workflow record, the Mail record is automatically attached to the workflow. You can also attach multiple mail records that were created independently of the workflow to an existing workflow record from the Mail Search results. The Attach Existing WF action is available for users who have been granted access to Security Lock #65. This action allows those users to attach multiple Mail records to the same Workflow record as long as the following conditions are met.

To attach multiple existing mail to the same workflow:

  1. Search for the mail you want to attach using a quick or advanced search, or by clicking a My Work mail link. Mail records appear on the Search Results page.

  2. Select the check box next to the records you want to attach or click the Select All link to select all Mail records.

  3. Select the Attach Existing WF action. IQ displays the Attach Workflow dialog with workflow quick search criteria.

  4. Search for the workflow by selecting quick search criteria or click the Advanced link for advanced search options. Click the Go button.

  5. Select one workflow record from the Search Results page by selecting the check box next to it, and click the Attach button at the bottom of the page. IQ displays the message "Please wait" and then returns you back to the Mail Search Results with the attached workflow in the Workflow ID column.
