Attaching People Records to a Workflow

The People panel lists all People records attached to the workflow. These may be individuals or agency contacts. Agency contacts are indicated by a check mark in the Agcy column. When records are attached to a workflow, one of them should be designated as the primary person. If you created the workflow through a People record, that person is automatically selected as the primary person.

To attach a People record to the workflow:

  1. Search for the workflow.

  2. Click the People tab and select the Attach People action. Note: Attach People is not available when Workflow Security Lock #68 (AttachPeople) is Denied.

  3. Search for the person you want to attach to the workflow. You can search for individuals by selecting a name option in the Search for field, or you can find a list by switching to an Advanced Search and clicking in the Select List field.

If you find an existing People record, click the Attach button at the bottom of the page.

If you find multiple People records you want to attach, select the check box next to each one and then click the Attach button at the bottom of the page.

If you find a select list, you can attach individual records in the list by selecting the check box next to each one or you can select all records in the list by clicking the Select All link. Click the Attach button at the bottom of the page to attach the selected records.

If a record does not exist for the person you searched for, click the Add New button to add a People record. Note: The Add New button is grayed out if your IQ user-id has not been granted access to Security Lock #2 (Create People).

You can add and attach a People record without searching by selecting the Attach New People action on the People panel. Note: The Attach New People and Find/Add Person actions are not available if your IQ user-id has not been granted access to Security Lock #2 (Create People). Type the name and address in the New Person Name and Address label and click the GO button. Click the No Match button and then select the Attach to WF action to attach the new people record to the workflow.

Once you've attached a People record to a workflow, information about it and a link to it appear on the People panel. If you attach a single People record, that record becomes the primary contact for the workflow if there is no primary contact already associated with it. IQ displays the People Record ID, if the attached People record does not contain any name information.

You can send mail to people attached to a workflow by selecting the check box next to the name and then selecting the Add Mail action.

To detach a People record from a workflow, select the check box next to the name on the People panel and select the Detach People action. The Steps panel will show who detached the People record and when.

Primary Person

Although you may correspond with many people regarding a workflow, there is normally one primary contact for the workflow. If you launch a new workflow through a People record, that People record is automatically identified as the primary person.

The primary contact, along with all other People and Agency contacts for a workflow, appear on the Workflow People panel. The primary person is chosen by selecting the Primary option button next to the name.
