Sending Information Copies

The Send Info Copy action allows you to send a notification to staff members who may need to know information about the workflow. This action is available for both open and closed workflows for any IQ user that has at least Read access to the workflow.

To send an information copy:

  1. Add or search for the workflow.

  2. On the Workflow Record page, select the Send Info Copy action from any workflow tab.

  3. Select users or groups as appropriate. When you select a group, the notification message is sent to all the users in that group. Select the Include Distribution List in the Text of the Message check box if you would like to include "Information Copies Sent to:" followed by a list of the selected user(s) and group(s). This will appear at the bottom of the message text.   

  4. Type information in the Message field, if desired. You can check the spelling of your message by clicking the spell check icon next to the field.

  5. Click the Send button. The notification message is sent to the users you selected.

The notification will be sent as a workflow alert or an e-mail message, depending on settings in the recipient's user record.

When the message is sent as an alert, the Message field text and a link to the workflow record are sent to the selected users in an alert message.

When the message is sent to an e-mail address (if the User IDs for the recipients are set up to forward notification messages to an outside e-mail address), the Message field text and a link to the workflow record are sent in an e-mail message. Clicking the workflow link prompts the user to log on to IQ and then displays the Workflow Search Results page, which contains the referenced workflow. Logging on provides the user with a fully functional session so that other records can be accessed and other actions performed.
