Attaching Agency Contacts to a Workflow

The Contacts panel lists agency contacts that can be attached to the workflow. The records that appear on this panel are those that contain at least one of the workflow codes associated with the workflow. To add additional agency contacts to this panel, you must add their codes to the workflow.

Whenever you send mail to an agency contact from a workflow, that agency contact record is automatically attached to the workflow. If you want to attach the contact to the workflow without sending mail, you must follow the steps below.

To attach an agency contact to the workflow:

  1. Search for and access the workflow.

  2. Click the Contacts tab and select the check box next to the agency contact or contacts you want to attach.

  3. Select the Attach Contact action.

  4. Click OK in response to the confirmation message. The agency contact is attached, and information about and link to the record appear on the People panel. IQ displays the People Record ID, if the attached record does not contain any name information. A check mark appears in the Agcy column for all attached agency contacts.

You can send mail to people attached to a workflow by selecting the check box next to the name and then selecting the Add Mail action.

To detach agency contacts from a workflow record, go to the Contacts panel and select the check box next to the record or records you want to detach. Select the Detach Contact action. The Steps panel will show who detached the contact and when.

Note: Select the Attach Agency Contacts option in the workflow code if you would like the Agency Contact(s) for that workflow code to automatically be attached to the workflow without having to manually attach them or send mail.
