Acquiring Ownership of a Step

When a workflow step has been routed (queued) to you, you can acquire ownership of it. When you acquire ownership of a step, it becomes active and assigned to you.

To acquire ownership of a workflow:

  1. Click the Queued Workflow link in the My Work section of the My IQ page or search for the workflow.

  2. Click the workflow ID link for the workflow that you want to acquire ownership of. You are notified that you are a queued user.

  3. Click the OK button to accept ownership of the workflow. IQ activates the step and assigns it to you. If you click the Cancel button, the workflow step remains queued to you and any other users it was routed to.

To acquire ownership of multiple workflow:

  1. Click the Queued Workflow link in the My Work section of the My IQ page or search for the workflow.

  2. Click the Select All link at the top of the page to select the check boxes next to all records found. If you want to acquire ownership of certain workflow, select the check box next to those records.

  3. Select the Acquire action. IQ displays the Workflow Acquire Ownership dialog which indicates how many of the selected workflow that you can acquire ownership of.

  4. Click the Acquire button to accept ownership of the selected workflow. IQ activates the steps and assigns it to you. If you click the Cancel button, the workflow step remains queued to you and any other users it was routed to.

  5. Click OK in response to the notification prompt.

You will automatically acquire ownership of the workflow if you complete a step and route the next step only to yourself. In addition, you will automatically acquire ownership of a workflow if you reassign it only to yourself.

You can also acquire ownership of a step from any panel within a workflow record by selecting the Acquire action.

When you acquire ownership of a step, a step note is entered that indicates the date and time on which you acquired ownership.

If you decline to accept ownership of a step by clicking the Cancel button, and if Audit Changes is set to Yes in the template, a step note records the date and time that you declined ownership.

Note: The Reject Assignment action will appear if it has been setup as a Step Application in the workflow template. This action provides the ability for a queued user to reject an assignment of the workflow for all queued users and groups. The rejecting user must enter a reason for the rejection – the workflow is then reassigned back to the user who made the original assignment.
