Managing Profiles

Profiles are a convenient way to organize access to a module and apply that access to users in a single step.  A Profile is a collection of security lock settings.  Three profiles exist for each IQ module – Full Access, Standard Access and Restricted Access.  The defaults contained in the three profiles for each module should be customized to meet the needs of your organization.  Likewise, Profiles should be reviewed after every IQ release, since new features are often implemented with security locks and users will not be able to access these features until they are granted access.

To view or modify profile settings:

  1. Click the Admin tab.

  2. Click the Profile sub-menu link.

  3. Open the desired Profile by clicking the Profile Name link.

  4. Make necessary changes to the Profile settings by clicking the Granted or Denied radio buttons on the Profile tab. Note: All changes made to the profile can be viewed on the History panel.

  5. Select the Save and Close action.

To apply profile settings to users:

  1. Search for users using a quick or advanced search.

  2. On the Search Results page, select the check box next to user records you would like to apply the profile settings.

  3. Select the Copy Profile action. IQ displays the Copy Profile dialog.

  4. In the Copy From User field, click the look up icon and choose the user record from which profile settings should be copied.

  5. In the Exception Settings field, click the icon and choose all preference settings that you do NOT want to copy to the selected target users.

  6. Click the Copy button. Note: Groups and the Approval Groups are also copied.

Note: Changing a Profile updates the security for all users who are assigned that Profile except where specific overrides have been applied. Users must log out of IQ and log back in to see the results of the security change.
