Searching for Board Members - Quick Search

Board Member records contain information about the Member’s appointment, characteristics, qualifications, and background. Each member of a Board has a Board record, which can be accessed from Board tab of the member's People record, from the Seats tab of the Board record, or by searching for it independently.

To perform a quick search for a Board Member record:

  1. Click the Boards tab and then click the Search Board Members submenu link to go to the Quick Search page. The Search Board Members for field defaults to the last criteria you selected. Fields that appear below the Search Board Members for field will vary depending on your entry. Click in the Search Board Members for field to select different criteria and complete the fields that appear. Any Custom Quick Searches, created by you or another IQ user, will appear below "Text" in the Search Board Members for field.

  2. Click the GO button to begin the search and display the results.

If you're not satisfied with the results of your search, click the Modify Search link to modify your search or click the Advanced Search action to use more criteria in your search.

  1. Click the Membership ID link on the Search Results page to display the Board Member record.

Quick Search Criteria

Click in the Search Board Members for field to display available criteria selections, which include Member Name, Board Name, Upcoming Vacancies, Member Past Term End, Member ID(s) and Text. Once you've selected one of these options, the appropriate fields will appear below the Search Board Members for field. You can exclude all expired Boards from the search by selecting the Exclude Expired Boards check box below the Quick Search fields.

Member Name – This option lets you search for all Board Member records for an individual. Type the last or first and last name in the Member Name field. You can narrow the search by making a selection in the Status field. This lets you find, for example, all John Duncans who are applicants for a Board seat. The search results show the Membership ID, the Board and Seat name, who the member was appointed by, and the term start and end dates.

Board Name This option allows you to search for Board Members based on a selected Board name.

Upcoming Vacancies – This option finds seats where the current member’s term ends within the specified time frame. When you select this option, two date fields appear for you to enter a range of dates that appear in the Member record Term Ends field. You can also narrow the search by making selections in the Appointed Type and Appointed By fields.

Member Past Term End – This option locates current Board members who are past the end of their stated terms. When you select this option, a field appears for you to enter the number of days past the term end date. The number that appears in this field is set in your user Preferences. You can also narrow the search by making selections in the Appointed Type and Appointed By fields.

Member ID(s) – If you know the Member ID of the record you're searching for, you can use that to find the record by typing the ID in the field. To find multiple records, separate IDs with commas (400202, 4) or search for a range by entering a hyphen between the IDs (7006317–7006350). Found records appear on the Search Results page.

Text – You can search for Board Members with a word or text string located in attached files, as well as in the Qualifications, Background Notes, Member Notes, and Recommendation Notes fields. Select the Text option in the Search Board Members for field. When you select this option, four check boxes appear that let you select where you want to search for the text. If you select more than one of these check boxes, an implied OR search is performed—the index for each is searched individually and then the results are combined.

Type the word for which you're searching in the For field. If you're searching for a phrase, enclose the words in braces { }. Use the following operators to limit your search.

AND

Use AND to search for Board Members with at least one occurrence of each term.

state and education
returns all Board Members with both state and education.

OR

Use OR to search for Board Members with at least one occurrence of any term.

state or education
returns all Board Members with either state or education.

NOT

Use NOT to search for Board Members with one term and not another.

state not education
returns all Board Members with state but only if they do not also contain education.

NEAR

Use NEAR to search for Board Members with terms that are near to one another.

state near education
returns all Board Members where the term state is near the term education.

ACCUM

Use ACCUM to search for Board Members with at least one occurrence of any term and rank according to the number found.

state accum education
returns all Board Members with either state or education, but those with both terms will receive a higher numerical ranking and appear at the top of the search results.

When you do a text search, each retrieved record is given a numeric ranking—the higher the score, the more relevant the record is to the text search criteria. The numeric rank appears for each record on the Search Results page and is used for the initial sort of the found records.
