When a letter batch contains e-mail messages, you can send them all at the same time. When you send e-mail messages from a batch, their mail records are automatically closed.
To send all or selected messages in a batch:
Click the Mail tab and click the Batches submenu link to go to the Quick Search page for batches.
Search for the batch you want to process by performing a quick or advanced search. Found batches appear on the Search Results page.
Click the batch name link to go to the Full Batch listing of all letters in batch.
Select the check box next to the e-mail messages you want to send. In order to be sent via e-mail, the record must have an Out Method of E-Mail. Click the Select All link to select all items in the batch. The Status column indicates the mail record. Only Approved mail can be printed in final. The checked-out icon (a letter with a red check mark) appears next to any letters in the Letter Name column that are checked out of the server. You will be unable to send e-mail using letters that are checked out.
Select the
Send E-Mail action. The dialog
box that appears indicates how many of the letters in the batch are available
for sending via e-mail. A listing of those that cannot be sent appears
with an explanation
Click the Send E-Mail button in the dialog box to send Approved e-mail messages. IQ sends the messages and changes the status of the mail records to Completed.
