Archiving a Code

You cannot delete a code from your IQ system if it’s in use in the database. You can, however, prevent users from being able to select the code in records (People, Mail, Workflow, etc.) by archiving it. Archived codes remain in records to which they were added before the code was archived and you can continue to search for records with these codes. Archived codes are displayed at the bottom of popup code lists in IQ.

To archive a code:

  1. Click a module tab.

  2. Click the Codes submenu link to display a list of all available codes for that module. For example, when you click the Codes submenu link in the People module, you'll see a list of all People codes.

  3. Click the code file containing the code you want to archive. For example, click Affiliation to archive an affiliation code.

  4. Click the code ID to go to the code you want to archive.

  5. Select the Archive check box.

  6. Select the Save and Close action to return to the code listing where a Y appears in the Archive column.

Once you've archived a code, it only appears on the Codes listing when you select the Show All or Show Archived action on that page. Archived codes cannot be edited and they do not appear when you select the Show Active action.

In addition, you cannot enter an archived code in a data field, but you can search your IQ database for all occurrences of an archived code in records. Archived codes are displayed at the bottom of popup code lists in IQ.

You can restore an archived code, thus making it available again for entry into a field. Do this by selecting the check box next to the archived code or codes and selecting the Activate action.

Note: The following Incoming and Outgoing Method codes cannot be archived because they are used by IQ: USMAIL and IMAIL.
