When you enter information in fields on an Intranet Quorum page, standard rules are used to save the information in the database. These rules apply throughout IQ, regardless of the module or page when entering field data, text, codes, dates, or times. Fields that require the entry of data before saving a record, running a report, etc. are identified with yellow shading inside of the field.
Once you've entered data in a field, press the TAB key to move to the next field.
IQ generally retains the case of words as you type them in a field. The exception to this is the entry of records through People or Set Entry where IQ automatically uppercases the first initial of any word you type in a name field. To override this feature, type a carat ^ in front of a word and type it in the correct case. For example, type ^de Gaulle to retain lower casing in "de". IQ also places a period after the prefix or any single character you enter in a People name field. IQ supports the manual entry of foreign characters in data fields along with the printing or emailing of the foreign characters when the data field is used as a merge code in the form letter. Some IQ reports also support the printing of foreign characters entered in data fields. In addition, People records that are created or updated as a result of an incoming email will retain any foreign characters in the name or address.
Fields such as Comments, Notes, and Description let you enter free-form text. Type the information as you would in a word processing document. Words wrap to the next line as you type, and a scroll bar lets you view text that exceeds the field size. Some text fields, such as Summary and Notes in the Event Record page, automatically expand when you press the ENTER key. These fields also provide a plus (+) and minus (-) button so that you can manually increase or decrease the size of the text box.
You can spell-check text entered into these fields by clicking the spell check icon next to the field. Potential misspellings appear with a ? button next to each one. Click the ? button for a list of possible spellings. You can choose the correct word from the list by clicking it, or, if the correct word does not appear in the list, you can correct the word manually by editing it within the field. Once you have made all corrections, or if there are no words to correct, click the Done button to return to the field.
Some text fields, such as the Summary field in an Event record, allow you to enter HTML Hypertext Markup Language. The coding language used to create Web pages. HTML commands cover many types of text formatting and also have the ability to include graphics and other nontext elements. code such as <b></b> to begin and end bold, <i></i> to begin and end italics, and <u></u> to begin and end underline to make certain text stand out. In addition some fields, such as the Message Text field in an Announcement record, allow you to enter HTML code so that you can include a hyper link to a specific web address.
IQ supports the entry of foreign characters in text fields along with the printing or emailing of the foreign characters when the text field is used as a merge code in the form letter. Some IQ reports also support the printing of foreign characters entered in text fields.
Fields that require entry of information from a code file or other predefined list are of two types.
The first type displays an arrow at the end of the field. When you click in this type of field, a drop-down list appears. To select information from a drop-down list, click an item in the list to return it to the field. Another way to select a code in this type of field is to type a letter to enter the first code that begins with that letter. Type a letter again to enter the next code beginning with that letter. Continue to type a letter until the code that you want to enter appears.
The second type of code field displays a search icon (magnifying glass) next to it. When you click the search icon, you can select a code from those that appear in one of two types of dialog list boxes.
If the field allows entry of only one code (for example, prefix or assigned to), a list of all possible codes appears when you click the search icon. When you click a code, it is automatically entered in the field. Type a letter to go to and highlight the first code beginning with that letter. Type the letter again to go to the next code beginning with that letter. When the code you want is highlighted, click it or click the Save button to enter it in the field.
If the field allows multiple entries (for example affiliation or issue codes), a list of all Available codes appears on the left side of a dialog box. Click a code to highlight it or type a letter to highlight the first code beginning with that letter. Then click the Add button or press the ENTER key to move it to the Selected codes field. Select additional codes in the same way. When you're finished selecting codes, click the Save button to return all selected codes to the field.
Both of the above dialog list boxes (single or multiple codes) contain a Search For field, which allows you to filter the Available code list based on a specific string of characters. For example, type the word "man" in the Search For field and the list of Available Prefixes will contain Airman, Commander, Congressman, etc.
You may also type part of the code or translation directly in the code field, rather than searching for it. As you type the code or translation, IQ will display a drop-down list of possible matches (if your IQ user Preferences is set to display possible code matches). To select a code, click it or use the down arrow to scroll through the list and press the ENTER key to select the highlighted code. IQ will close the list and place the selected code in the field. To remove a single code, click the x located at the end of the code. To clear all of the selected codes from the field, click the eraser icon.
Throughout IQ, pop-ups that show a list of users also contain the ability to limit the list by Department. Once you have chosen to filter by Department, the next user pop-up you use will continue to filter by Department. Select the All Departments option from the drop-down to display all users.
There are two ways to enter dates in date fields. You can click the calendar icon next to the field and select a date from the calendar that appears or you can type the date in the field.
The calendar lets you select a date from the current month. Point to and click a date on the calendar to enter that date in the field. The current date is highlighted in white. If a date has already been entered in the field, it also appears on the calendar highlighted in white.
Click the < icon (located to the left of the month) or the > icon (located to the right of the year) to view the calendar for the previous or next month. You can also select a month by clicking in the month field and selecting another month. To select another year, click in the year field and select another year. Click the Today button to select the current date and close the calendar. Click the Cancel button to close the calendar without selecting a date.
You can also type a date in a field in one of the formats shown in the following table. You can separate the day, month, and year information with slashes, dashes, periods, or spaces. If the date does not match a valid format, the calendar appears for selection of a date. If you do not include a year, the current year is used.
Format |
Example |
mm dd yyyy |
01/03/2010 |
mm dd yy |
01-03-10 |
m d yy |
1.3.10 |
m d yyyy |
1 3 2010 |
mm dd |
01/20 |
m d |
1.3 |
You can type a plus sign (+) with a number in any date field to enter a date that number of days from the current date. For example, on February 5, type +20 to enter 02/25/2010 in the field. In addition, you can type a minus sign (-) followed by a number in any date field to enter a date which is that number of days prior to the current date. Type +0 or -0 to enter the current date.
When you type the year in a two-digit rather than a four-digit format, a century of 19 is entered for years 50 through 99, and a century of 20 is entered for years 00 through 49. For example, if you type 10-6-05, the year is entered as 2005; if you enter 10-6-99, the year is entered as 1999.
When entering the time in a field, type the complete time 2:00 pm or just the hour (2p). If you type the complete time, you can use a colon (:), a period (.) or a space to separate hours from minutes as in the following examples: 11:30, 9.30, 8 45. If you don't include the am or pm designation, the default of am is used. Include the pm designation for pm times or type the time in 24-hour (military) format (14:00), which IQ converts to standard time (2:00 PM).
