Managing Printer Configurations

Intranet Quorum uses printer configurations for letter printing. Printer configurations let you identify the printers that will be used for printing letters, and select printer tray defaults for drafts, previews, final letters, copies, and envelopes. Your IQ user-ID must be granted access to Security Lock #54 in order to access the Printers submenu link in the Mail module. Note: Contact your Leidos ITC or PM for assistance with setting up printing in IQ for non-IE browsers.

To add or change a printer configuration:

  1. Click the Mail tab and click the Printers submenu link to view a list of all letter printers. You can limit the list to those printers in a specific location by clicking in the Show Printers Located field and selecting a location from the list that appears.

  2. Select the Add Printer action to add a new letter printer or click a printer name link to edit an existing printer.

  3. Complete Printer Configuration fields as required.

  4. Select the Save and Close action.

You can set a your default printer configuration for each type of letter printing (draft, preview, final, copy, and envelope) through your user Preferences. Select the Force Refresh Status For All action to force a refresh of printer info to all IQ workstations in your office. This is helpful when setting up a new printer for your office.

Printer Configuration Fields

The following fields are available when adding or editing a letter printer:

Location – The Location field shows where the printer is physically located. This might be in a particular office—DC or District, on the floor of a building, or in a particular room. A printer's location is useful when you're choosing among a large number of printers at print time. To add a printer to an existing location, select the Use Existing Printer Locations check box. When you click in the Location field, a list of all existing locations appears for you to choose from. If you're adding a printer to a new location, clear the check box and type the name of the new location in this field.

Printer Name – Type the name of the printer exactly as it is identified by Word. You can verify the name by opening Word and viewing printers that appear when you select File–>Print. Note that if your office has selected the System Configuration option to Check Printer Validity Using Active Scripting, this field will contain a drop-down list of the printers that are available on your workstation. If you add a printer to a workstation, IQ will not be aware of it until you refresh the printer locations. This can be done from the Print Letter dialog by selecting the Refresh Printers button or the Refresh action on the Letter Printers page.

Description – Type a brief description of the printer, for example, Ann's HP5, HP4 in Printer Room, etc.

Printer Bins – These fields let you indicate from which printer bin to pull paper or envelopes for first pages (stationery), second and subsequent pages (plain), or envelopes. When you identify which printer bins to use for different pages and types of print jobs, the correct paper (letterhead or plain) will be used for the first, second, and subsequent pages when you print a draft, preview, final, or copy of a letter using this printer. Entries in these fields depend on the printer for which you're setting up the configuration. Your IT Consultant can assist you with determining the correct numbers to enter in these fields. Note that if your office has selected the System Configuration option to Check Printer Validity Using Active Scripting, each Printer Bins field will contain a drop-down list of all the possible trays for the selected printer.

The Offsite Printing check box at the bottom of the Add Printer Configuration page lets you identify this configuration as one that will be used to send jobs to an offsite printer. Prior to creating a printer configuration for an offsite printer, you must configure your system for offsite printing. System configuration parameters for offsite printing include the print server address, user name, password, and other information that Quorum uses whenever you print with an offsite printer configuration.
