Suspending a User ID

Suspending a User ID deactivates it so that it cannot be used to log on to your IQ system and removes the User ID name from the drop-down list in Staff fields. In addition, you have the option to select a replacement user for the suspended user. If a User ID has been suspended, you can always reinstate it to make the user active in your system again with all of the same access rights as before. When searching for User IDs, you have the option to include or exclude suspended IDs or to search for suspended IDs only.

To suspend a user ID:

  1. Click the Admin tab.

  2. Click the Users submenu link.

  3. Search for the User ID you want to suspend.

  4. On the User List page, click the name link of the user you want to suspend.

  5. On the User Record page, click in the Status field and select Suspended. IQ displays the field Replace this user with below the Domain Name and Login ID field. Enter or select a user-id to replace the suspended user if you would like IQ to update all existing alerts, form letters, IMA rules, non-completed legislative actions, open workflows, non-completed workflow steps, workflow monitor, workflow template settings, sets, codes, board records, non-archived letter batches and non-completed outgoing mail records for the suspended user.

Note: Updates will only be made for those records the replacement user has been granted access rights. So if, for example, the replacement user has been denied access to the Workflow module, then the workflow records will remain assigned to the suspended user. Likewise, if any of the Mail, Workflow or Document records contain record security which would prevent access by the replacement user, those records will also remain assigned to the suspended user.

  1. Select the Save and Close action. Note: If you selected a replacement user, IQ will process the updates in the background. Updates include an entry in the Status Log for Mail and Document records.  A note is added to Workflow records that are reassigned by this process.

To reactivate a suspended user, simply access the User record using the above steps and select Active in the Status field.

Note: If the User ID is not associated with any records (People, Mail, Workflow, etc.) in your IQ database, it can be removed using the Delete action. If you try to delete a User ID that is associated with records, IQ will automatically change the status to Suspended.
