Mail Reports

Batch Analysis - Pending and Completed Mail Report

This report provides batch owner, record id of oldest mail, along with a count of pending and completed mail in active or archived batches for a selected date range.

The following options are available for this report:

Date In From – To limit the report to mail within a specific date range, type a begin date or click the calendar icon and select a date from the calendar that appears. This date is required in order to run the report.

Through –  Leave this date field empty and IQ will use the current date as the end date or you may enter or select another end date.

Include Targeted Mailings – Select Yes if you would like the report to include Mail records that are part of a targeted mailing. Select No to limit the report to Mail records that are not part of a targeted mailing.

Include Archived Batches – Select Yes to include archived batches in the report. Select No to limit the report to only active batches.

Output To – This defaults to Microsoft Word. Click in this field and select Microsoft Excel or PDF if you would like the report to be available in another output type.

There is also an option to run this report in the background, which is recommended when running the report for large volumes of mail.

Daily Calls

The Daily Calls report lets you report on incoming correspondence for a selected incoming method. This report can be used, for example, to report on all incoming e-mail entered during a time period, or incoming phone calls entered by a particular staff member. The report contains the name and address of the people record, the incoming date and comments, the user that entered the incoming and the assigned staff. Note: IQ automatically excludes all Mail records with an Incoming Method of Nondeliverable for this report.

The following options are available for this report:

Incoming Method – Click in this field and select a method from the list that appears.

Starting and Ending Date – To limit the report to incoming correspondence created within a date range, type a begin and end date or click the calendar icon next to the fields and select a date from the calendar that appears. Both of these dates are required in order to run the report.

Limit Report to Selected Staff - Select No to run the report for all staff. Select Yes if you would like to limit the report to one or more users. If you select Yes, then click on the lookup icon to select the staff from the list.

Sort Report by – Select Incoming Date to sort this report by the date on which the incoming correspondence was entered; select Incoming Staff (Entered By) to sort this report by the staff member who entered the incoming correspondence.

Data Entry

The Data Entry report provides a count of mail records for a selected date range that were created by all staff. For each selected staff, the report displays the count for mail that was created by a posted Set in the Set Mail column and mail recreated outside of a Set in the Non-Set Mail column. Note: IQ automatically excludes all Mail records with an Incoming Method of Nondeliverable for this report.

Executive Summary Report

The Executive Summary Report shows mail and workflow activity for a user-specified time period. It shows totals, volume trends, and numbers for staff major issues. You can choose to run this report for the latest week, the last two weeks, the current month to-date, or the past month (from the same day of the last month to the current day) by selecting one of these options when you run the report.

The top half of the report summarizes in text the following information:

Tables in the lower portion of the report reiterate the text portion of the report and give information for additional time periods, staff members, and issue areas.

Summary Report Tables

These tables show letter and workflow numbers for the report time period.

Letter Volume Trends – Based on the In Date, shows letters for three time periods and the average number of letters for the past 10 weeks.

New Letters by Staff (Top 5) – Counts mail with an In Date that falls within the selected time frame. Based on the name in the Mail Record Assigned to field, this table shows the top five staff members generating this mail and shows the amount of mail for each staff member.

Pending Letters by Staff (Top 5) – As of the report date, shows the five staff members with the most number of pending letters (mail that has not been closed). The table shows the number of pending letters for each staff member.

New Letters - Top 5 Issues – Shows the count for the top five issue codes in mail with an In Date that falls within the selected time frame.

Workflow Volume Trends – Shows the number of workflows with an open date that falls within three time periods and the average number of workflows opened during the past ten weeks.

New Workflows by Staff (Top 5) – Counts workflow steps assigned during the selected time frame and shows the staff members who were assigned the most (top five) during that period.

New Unassigned Workflows – Counts new workflow steps that have not been assigned to or acquired by a staff member.

Open Workflows by Staff (Top 5) – As of the report date, shows the five staff members with the most number of active workflow steps and the number of active workflow steps for each staff member.

Open Unassigned Workflows – As of the report date, shows the number of open workflow steps that have not been assigned to or acquired by a staff member.

New Workflows – Top 5 Issues – Shows the count for the top five issue codes in open workflows.

IMA Rules Usage

This report lists every IMA Rule that has fired within a specified period of time and shows the number of times each rule has fired. Included in this report is the rule action type, rule ID, rule name, rule status, the number of times the rule fired (usage count), and the last date on which the rule was fired.

The following options are available for this report:

Date Options – Specify the date range by entering the dates you want to include in this report in the Starting Usage Date and Ending Usage Date fields. Type the date in the field or click the calendar icon next to the field and select a date from the calendar that appears.

Status to Report On – Select Active and Inactive Rules, Active Rules Only, or Inactive Rules Only to report on all rules regardless of their status, only active rules or only inactive rules.

Sort Options – Select Usage Count, Rule ID, Last Used Date or Action Type to sort this report by, the number of times the rules have fired, the Rule ID, the date on which the rules have fired or the Rule Action Type.

IMA Rules Usage by Action Type

This report lists every IMA Rule that has fired within a specified period of time, grouped by the rule action type. Included in this report is the rule action type, rule ID, rule name, rule status, the number of times the rule fired (usage count), and the last date on which the rule was fired.

The following options are available for this report:

Date Options – Specify the date range by entering the dates you want to include in this report in the Starting Usage Date and Ending Usage Date fields. Type the date in the field or click the calendar icon next to the field and select a date from the calendar that appears.

Status to Report On – Select Active and Inactive Rules, Active Rules Only, or Inactive Rules Only to report all rules regardless of their status, only active rules or only inactive rules.

Incoming Method Report

The Incoming Method report lets you report on incoming correspondence for a selected incoming method. This report can be used, for example, to report on all incoming e-mail entered during a time period, or incoming phone calls entered by a particular staff member. Incoming Method Report - Multiple Methods

The Incoming Method - Multiple Methods report lets you report on incoming correspondence for more than one incoming method. The report contains the People and Outgoing IDs, name and address of the people record, the incoming date and comments, the user that entered the incoming and the assigned staff. Note: IQ automatically excludes all Mail records with an Incoming Method of Nondeliverable for this report.

The following options are available for this report:

Starting Date Opened - Type a begin date or click the calendar icon and select a date from the calendar that appears. This date is required to run the report.

Ending Date Opened - Leave this field empty and IQ will use the current date as the end date or you may enter or select another end date.

Methods to Report on - Select the Incoming Method(s) you want to report on using the Ctrl key to select multiple methods. Select All Values to report on all active Incoming Method codes in your code file.

The following information is available in the completed report:

Method In - The Incoming Method(s) being reported on.

Completed - The total number of correspondence records that have been completed during the selected date range and incoming method(s).

Pending - The total number of correspondence records that are pending for the selected date range and incoming method(s).

Total - The total number of both Completed and Pending correspondence records during the selected date range and incoming method(s).

Percent - The Incoming Methods by percentage for the date range selected.

Incoming Source Report

This report shows the source of incoming mail (ZIP Code, City or County)) and the method by which it arrived (Fax, Walkin, E-Mail, Phone, U.S. Mail). You can run this report for a date range by entering dates in the Starting date and Ending date fields. Your selection in the Sort by field identifies the source and sorts the report by that field. There is an option to run this report in the background, which is recommended when running the report for large volumes of mail. Note: IQ automatically excludes all Mail records with an Incoming Method of Nondeliverable for this report.

Issue Code Analysis of Mail and People

This report provides counts of the number of People records and Mail records with an issue code for a specified date range. Note: IQ automatically excludes all Mail records with an Incoming Method of Nondeliverable for this report.

The following options are available for this report:

Date In From – To limit the report to incoming correspondence created within a date range, type a begin date or click the calendar icon and select a date from the calendar that appears. This date is required in order to run the report.

Through – Leave this date field empty and IQ will use the current date as the end date or you may enter or select another end date.

Include Targeted Mailings? - This defaults to Yes. Click in this field and select No if you do not want to include targeted mailings in the report.

Sort Order – This defaults to Issue Code. Click in this field and select Issue Translation, People Count (Descending) or Mail Count (Descending) if you would like to sort to report by another criteria.

Output To – This defaults to Microsoft Word. Click in this field and select Microsoft Excel or PDF if you would like the report to be available in another output type.

There is also an option to run this report in the background, which is recommended when running the report for large volumes of mail.

Letter Frequency Reports

The Letter Frequency Report shows the names of all form letters in mail records with closed dates that fall within a specified range. The report does not check the Outgoing method, and reports on all methods (U.S. Mail, E-Mail, and so forth). You have the option to include Targeted Mail and customized letters. The letters on the report are sorted by frequency of use.

The Letter Frequency Report by Zip is identical but sorts the letters by ZIP Code. For each ZIP Code, the report shows all form letters sent during the time period, sorted by frequency of use. There is an option to run this report in the background, which is recommended when running the report for large volumes of mail.

The Letter Frequency Report by Method only reports on the outgoing methods USMail and E-Mail. It shows the total number of letters sent during the time period for each method and is sorted by frequency of use.

These reports show the form letter name and version, the number of times the letter was sent during the selected date range, and its percentage of the total letters sent during the date range.

Letter Writing Backlog Reports

The Letter Writing Backlog and Letter Writing Backlog By Issue both report on all pending mail for all or selected staff as of the date in which you run the report. The difference is that the Letter Writing Backlog report does not include Issue Codes, which results in different totals at the end of each reports. This is because mail records that contain multiple issue codes are counted multiple times on the Letter Writing Backlog by Issue report but not on the Letter Writing Backlog report. You can run these reports in the background, which is recommended when running the report for large volumes of pending mail.

The following options are available for these reports:

Sort Report By Click in this field and select Total Pending, Assigned Staff, Newest Received or Oldest Unanswered. Issue Code is also available for the Letter Writing Backlog By Issue report.

Limit Report to selected Assigned Staff Select No to run the report for all staff. Select Yes if you would like to limit the report to one or more users. If you select Yes, then click the lookup icon to select the staff from the list.

Mail Aging Report

Based on a date range and two aging values (number of days), the Mail Aging report tallies the mail activity. There are two sections to this report. The first section shows the number of various types of mail opened, responded to, and pending for selected staff members. The second section of the report shows, for each selected staff member, the number of pending letters and how long they've been open based on user-defined criteria for recent and oldest letters.

Mail Aging report criteria let you select date in or date created, a date range and staff to report on. There is an option to run this report in the background and email the results, which is recommended when running the report for large volumes of mail. When you select the option to run the  report in the background, there is an another option to Edit Background Job which opens the Background Job record where additional edits can be made to the job.

Report Criteria

Date Criteria For Report – This option allows you to select which Mail record date field, Date In or Date Created, you would like to report on. The Date In field defaults to the date the Mail record was created, however, the Date In can be changed to a past or future date to reflect the actual date the letter, phone call, etc. was received. The Date Created is the date the Mail record was added and can not be changed.

Date Options – Specify your desired date range by entering the dates of correspondence you want to include in this report in the From and To fields. Type a date in these fields or click the calendar icon next to the field and select a date from the calendar that appears

Maximum Days for Most Recent – Enter the maximum number of days that a pending letter has been logged in for it to be considered recent in the aging portion of the report. For example, if you enter 6 in this field, the report counts mail with an In Date of six days from today or less in the "N Days Old or Less" column.

Minimum Days for Oldest – Enter the minimum number of days that a pending letter has been logged in for it to be considered old in the aging portion of the report. For example, if you enter 14 in this field, the report counts mail with an In Date of 14 days or more, within the time period entered in Date Options, in the "N Days Old or More" column.

Staff Options – Select the All Staff (Active and Suspended) option to include all correspondence entered by all members of the staff in this report. Select the All Active Staff to include only mail assigned to active staff members (this option excludes suspended staff members). Select the Selected Staff (Active and Suspended) option to limit the report to only those staff members whose names you select. When you select this option, the check boxes next to staff names become available for selection. Select the Selected Active Staff option to limit the report to active staff members whose names you select. When you select this option, the names of suspended staff members disappear from the list of staff names available for check box selection.

For selected or all staff members in your office, the report shows the total number mail records that have not yet been closed. The second page of the report takes the remaining open mail records and "ages" them based upon your minimum and maximum aging values.

Mail Numbers

The first section of the report uses the date and staff criteria to report the following numbers for each staff member. A total for all staff members reported on is also given.

Open as of nn/nn/nnnn – The number of mail records that were open as of the day before the first date of your date range. If you entered 2/1/2005 in the From field, the Open as of nn/nn/nnnn number would be the number of mail records that were open as of midnight on January 31. This count includes mail records that are still open or have since been closed. Targeted mail records are included in this count.

Mail Received – The number of mail records opened within the report date range (having an In Date in that range) that require a response. Targeted mail records or mail records with an In Method of 'No Incoming' are not included in this count.

Mail Completed  The total number of mail records that were closed within the report date range (with a closed date in that range) and that were also opened during the same date range. This count does not include T-Mail letters.

Unsolicited Mail – This count reflects the number of People records to which the T-Mail letters were assigned that are either pending or closed. Mail with an In Method of 'No Incoming' is also included in this count.

Total Mail Sent – The total number of mail records that were closed within the report date range. The mail records in this count includes mail that was opened prior to the date range as well as mail opened during the date range. T-Mail letters are also included in this total.

Open as of nn/nn/nnnn – The number of pending mail records as of the day after the last date of your date range. If you entered 2/28/2005 in the To field, the Open as of nn/nn/nnnn number would be the number of mail records that were pending as of the beginning of March 1. Pending mail records are those that have not been closed. They may or may not have a letter text assigned to them. Pending T-Mail letters are included in this total.

Mail Aging Section

The second, or aging, portion of the report shows aging information for each user’s open (pending) mail—mail that has not been closed.

N Days Old or Less – The number of pending mail records within the report date range with an In Date that is N days less than the last date in your report range, where "N" is the number of days you selected for Maximum Days for Most Recent. For example, if your date range is 2/1/05 to 2/28/05 and your "Maximum" number is 6, the number in this column would reflect those mail records with an In Date of 2/21/05 through 2/27/05. Note that mail records  entered on the "To" date are not included. Pending T-Mail letters are included in this count.

N-N Days Old – The number of pending letters between those ’r;N Days Old or Less’ and those "N Days Old or More. Pending T-Mail letters are included in this count.

N Days Old or More – The number of pending mail records within the report date range with an In Date that is N days less than the last date in your report range, where "N" is the number of days you selected for Minimum Days for Oldest. For example, if your date range is 2/1/05 to 4/1/05 and your "Minimum" number is 14 the number in this column would reflect those mail records with an In Date of 2/1/05 the first date in your range) through 3/17/05 (14 days prior to 3/31/05). Note that mail records entered on the "To" date are not included. Pending T-Mail letters are included in this count.

Total Pending Letters – The number of pending mail records as of the day after the last date of your date range. If you entered 2/28/2005 in the To field, the Total Pending Letters number would be the number of mail records that were pending as of the beginning of March 1. Pending mail records are those that have not been closed. They may or may not have a letter text assigned to them. Pending T-Mail letters are included in this total. This number is the same as the Open as of nn/nn/nnnn (To Date) number in the previous portion of the report.

Total Days Pending – The total number of days the Total Pending Letters have remained unanswered. This number is calculated by adding together the days that all pending letters have been pending. As a simple example, if there are 5 total pending letters, three of which have been pending for 10 days and two for 5 days, the Total Days Pending would be 40.

Average Days Pending – The average number of days the Total Pending Letters have remained unanswered. This number is calculated by dividing the Total Days Pending number by the Total Pending Letters number. Using the previous example, the Average Days Pending would be 8 (40 divided by 5).

Mail and Workflow Productivity

The Mail and Workflow Productivity report shows mail and workflow activity for a user-specified date range. There is also an option to run the report in the background. The first table in the report contains totals for pending, received, completed and turn around time for mail and workflow for the selected date range. The second table includes the count and percentage of closed mail by letter type (form or custom) for the selected date range. The third and fourth tables provide the following volume trends and top 5 issues for Mail and Workflow:

Mail Volume Trends – Based on the In Date, shows letters for three time periods and the average number of letters for the past 10 weeks.

New Mail - Top 5 Issues – Shows the count for the top five issue codes in mail with an In Date that falls within the selected time frame.

New Mail by Staff (Top 5) – Counts mail with an In Date that falls within the selected time frame. Based on the name in the Mail Record Assigned to field, this table shows the top five staff members generating this mail and shows the amount of mail for each staff member.

Pending Mail by Staff (Top 5) – As of the report date, shows the five staff members with the most number of pending letters (mail that has not been closed). The table shows the number of pending letters for each staff member.

Workflow Volume Trends – Shows the number of workflows with an open date that falls within three time periods and the average number of workflows opened during the past ten weeks.

New Workflows – Top 5 Issues – Shows the count for the top five issue codes in open workflows.

New Workflows by Staff (Top 5) – Counts workflow steps assigned during the selected time frame and shows the staff members who were assigned the most (top five) during that period.

Open Workflows by Staff (Top 5) – As of the report date, shows the five staff members with the most number of active workflow steps and the number of active workflow steps for each staff member.

Mail Issue Analysis Reports

Mail Issue Analysis reports let you review the issue codes associated with mail by zip code or county. The Mail Issue Analysis report displays the issue code, its description, and the number of times the code was part of a mail record during the date range you specify.

Mail Issue Analysis by County sorts and displays the information by County. This report shows all issues codes that were part of mail sent to each County.

A similar report, Mail Issue Analysis by Zip, sorts and displays the information by ZIP Code. This report shows all issue codes that were part of mail sent to each ZIP Code.

All three reports show the issue code, its translation, and a count and percentage for each code. There is an option to run these reports in the background, which is recommended if the selected date range results in a large volume of mail.

Open Mail Activity

This report provides detailed activity for each open mail record for selected staff. The activity includes, but is not limited to, when the outgoing was created, the letter or method was changed or the set was posted. The report is sorted by staff and then by the outgoing mail record ID. Included on the report is the assigned staff, the Mail ID, the letter assigned to the mail record, the date entered and the People name information. You can run this report in the background, which is recommended when running the report for all staff.

The following options are available for this report:

Include Tmail Select No if you do not want to include targeted mail records and select Yes if you would like to include targeted mail records.

Include Form Letters Select No if you do not want to include mail records with form letters. Select Yes if you would like to include open mail records with form letters.

Limit report to mail received after a specified date Select No if you would like to report on all open mail regardless of when it was received. Select Yes if you would like to report on open mail that was received after a specific date. Type the date in the If Yes, then only report on open mail after this date or click the calendar icon next to the field and select a date from the calendar that appears.

Limit Report to selected Assigned Staff Select No to run the report for all staff. Select Yes if you would like to limit the report to one or more users. If you select Yes, then click on the lookup icon to select the staff from the list.

Open Mail by Staff

This report lists mail that has not been closed. Included on the report is the Mail ID, the letter assigned to the mail record, the date entered, the People name information, and any issue codes assigned to the record. The Open Mail by Staff report is sorted by User Name, Date In and then Outgoing ID.

The following options are available for this report:

Date Range – To limit the report to mail entered within a specific date range, click in the Limit Report to a Date Range field and select Yes. Select No to report on all mail. Enter dates in the Start Date and End Date fields to limit the report to mail created within that range. Type the date in the field or click the calendar icon next to the field and select a date from the calendar that appears.

Include Targeted Mailings – Accept the default of No to exclude targeted mailings from this report. Select Yes to include targeted mailings in the report.

Include Workflow Related Mail – Accept the default of No to exclude workflow-related mail from this report. Select Yes to include workflow-related mail in the report.

Staff Options – Select No to report on all mail. To limit the report to mail assigned to specific staff members, click in the Limit Report to Selected Staff field and select Yes. Select staff by typing their names in the Staff to Report on field or by clicking the search icon next to the field and selecting names from the list that appears.

Open Mail by Assigned and Approver

This report shows the number of open mail records assigned to each user 1 to 14 days ago, 15 to 21 days ago, and more than 21 days ago, and totals these three numbers in the Total Open column. For each user, an open mail count is given for the number routed to each approver, the number routed to Any Approver,  the number with a status or On Hold Denied, and the number with a status of Approved and ready to be sent. The total number of pending letters for each user as well as a grand total of all pending letters is also provided. You have options to include or exclude targeted mail and workflow-related mail. There is also an option to run this report in the background, which is recommended if your database contains a large number of mail records.

Opinion Summary Report

The Opinion Summary Report lets you review the issue codes associated with mail that has an incoming method of Opinion. The report displays the issue code ID, its translation, and the number of times the code was part of a mail record during the date range you specify along with the percentage of the total count for each issue code.

Outgoing Issue and Letter Analysis

The Outgoing Issue and Letter Analysis report lets you report on completed mail for all staff or selected staff for a user-defined date range. The report contains the Issue Code ID and Translation for the completed mail records. The text "No Issue Code" will appear in the Issue Code column for mail records that do not have a selected Issue Code. The letter names for each completed mail record appear in the Letter Name column on the same row as the associated Issue Code. Note that completed mail records without a letter name are not included in this report. The Count column displays the total count for each letter name. The Total column contains the total count of all letters for each Issue Code. The Pct column displays the percentage of the total.

Outgoing Mail Detail Report

The Outgoing Mail Detail Report lets you report on outgoings that have been closed within a user-defined time period. It shows letters closed by all or selected staff members, with the total number of each letter for the staff member. Note: IQ automatically excludes all Mail records from this report that have an Outgoing Method of No Response.

The following options are available for this report:

Date Range – To limit the report to outgoing correspondence closed during a time period, enter dates in the Start Date and End Date fields by typing the date or by clicking the calendar icon next to the field and selecting a date from the calendar that appears.

Include Letter Type – Select the type of letters (Form Letter, Individual Letter or Targeted Mail) to report on.

Staff Options – Select No for the Limit Report to Selected Staff option to include closed outgoings  for all staff members. Select Yes for the Limit Report to Selected Staff option to limit the report to only those staff members whose names you select in the Staff to Report on field.

Sort Report by  Sort options for the Outgoing Mail Detail report are by Staff Name and Count or Staff Name and Letter Name.

Outgoing Mail Summary Report

The Outgoing Mail Summary Report lets you report on outgoings that have been closed within a user-defined time period. It shows totals for each letter type closed during the time period. Note: IQ automatically excludes all Mail records from this report that have an Outgoing Method of No Response.

The following options are available for this report:

Date Range – To limit the report to outgoing correspondence closed during a time period, enter dates in the Start Date and End Date fields by typing the date or by clicking the calendar icon next to the field and selecting a date from the calendar that appears.

Include Letter Type – Select the type of letters (Form Letter, Individual Letter or Targeted Mail) to report on.

Staff Options – Select No for the Limit Report to Selected Staff option to include closed outgoings  for all staff members. Select Yes for the Limit Report to Selected Staff option to limit the report to only those staff members whose names you select in the Staff to Report on field.

Sort Report by  Sort options for the Outgoing Mail Detail report are by Count or Letter Name.

Staff Mail Log Reports

The Staff Mail Log is a detailed report on pending responses to incoming mail for selected staff for a selected date range. The Staff Mail Log for Letter Batch is a detailed report on pending responses to incoming mail for a selected batch. The Staff Mail Log From Select List is a detailed report on pending response  The Staff Mail Log and Staff Mail Log for Letter Batch reports contain the incoming date, number of days pending, name and address, salutation, people ID, method, issue codes, staff, letter name and mail ID. The Staff Mail Log From Select List contains the incoming date, name and address, people ID, method, issue codes, staff, letter name and mail ID.

The report criteria for the Staff Mail Log report includes:

Date Options – Specify your desired date range by entering the dates of correspondence you want to include in this report in the Start Date and End Date fields. Type the date in the field or click the calendar icon next to the field and select a date from the calendar that appears. The Start Date and End Date are required fields.

Staff Options – Select No for the Limit Report to Selected Staff option to include pending correspondence for all staff members. Select Yes for the Limit Report to Selected Staff option to limit the report to only those staff members whose names you select in the Staff to Report on field.

The report criteria for the Staff Mail Log for Letter Batch report is Letter Batch to Report on. Click in the field and select the batch name from the list that you want to report on.

The report criteria for the Staff Mail Log From Select List report is Name of Mail Select List to Report on. Click in the field and select the list name that you want to report on.
