Advanced Search Criteria

Fields on the Advanced Search page let you enter as many criteria as necessary to find the person or people you're looking for. Remember that when you enter criteria in more than one field, the advanced search looks for records that meet all the criteria (an AND search). For example, if you enter a last name of Smith and an address line of 123 Main Street, the search returns all People records with a last name of Smith who live at 123 Main Street.

A First Name search includes nickname searching. For example, searches for "Thomas Smith" will find Tom Smith and Tommy Smith. The nicknames searched are based on your IQ Nickname table found in People Codes. You may add or alter entries in this table to enhance nickname searching.

When you enter more than one value in a field, the advanced search looks for record that meet any of the criteria (an OR search). The following fields let you enter multiple values: Prefix, Suffix, State, and Agency Contact. To enter multiple values, click the search icon next to the field and select multiple values from the list that appears.

The Birthday field allows you to search for a range of dates or a single birthdate. Type the date or click the date icon to select a date from the calendar.

The Affiliation Code(s) field allows for entry of multiple values. To perform an OR search for affiliation codes, enter one code per line or click the search icon next to the field and select multiple codes from the list that appears.

You can combine multiple field and multiple value searches.

The People ID field also allows for entry of multiple IDs. You must type your entries separated by a comma, or you can search for a range of IDs by entering a hyphen between the first and last numbers in the range. Note that if you search for a single People ID, IQ will open that People record.

If you're searching for someone with a two-word last name, for example, Van Meter, simply type the words Van Meter in the Last field. You do not need to connect them with an underscore as you do in a Quick Search because IQ recognizes all words this field as the last name.

To perform a case-sensitive search, place quotation marks before and after the criteria. For example, an organization search for "LINK" will find LINK, Inc., but not The Link Company.

You can perform a wildcard search using an asterisk (*) as a wildcard character. To search for field information that begins with a string of characters, type the asterisk at the end of your entry. For example, type 8020* in Address Line 1 to find all records with an address that begins with the number 8020. To search for field information that ends with a string of characters, type the asterisk at the beginning of your entry (for example, *Candlewood Drive to find all records with an address that ends with Candlewood Drive. To find a string anywhere in the field, type an asterisk before and after the string (*Candlewood*).

The Text in Attachment field allows you to locate People records whose attached files contain specific word or words.  If you're searching for a phrase, enclose the words in braces { }. You can also use parentheses to organize the logic of your search, for example "(apple AND oranges) OR fruit". You can use $ for word stemming, for example $speak finds words like SPEAK (SPEAK, SPEAKS, SPOKE and SPOKEN. The % allows you to search for words which begin with (appl%), end with (%tion) or contains (%part%) a string. For example, appl% finds words which begin with APPL (APPLE, APPLICATION, and APPLY).

Use the following operators to limit your search.

AND

Use AND to search for attachments with at least one occurrence of each term.

budget and taxes
returns attachments with both budget and taxes.

OR

Use OR to search for attachments with at least one occurrence of any term.

budget or taxes
returns attachments with either budget or taxes.

NOT

Use NOT to search for attachments with one term and not another.

budget not taxes
returns attachments with budget but only if they do not also contain taxes.

NEAR

Use NEAR to search for attachments with terms that are near to one another.

budget near taxes
returns attachments where the term budget is near the term taxes.

ACCUM

Use ACCUM to search for attachments with at least one occurrence of any term and rank according to the number found.

budget accum taxes
returns attachments with either budget or taxes, but those with both terms will receive a higher numerical ranking and appear at the top of the search results.

 

The Agency Contact field lets you find People records with a specific workflow code or workflow category. For example, you can find all your agency contacts at the Department of Transportation. Click in the first field to select Workflow Code or Workflow Category. If you know the code or category, you may type it in the second field, or you can click the search icon next to the field and select one or more codes from the dialog box. If you enter multiple codes, your search results will be agency contacts that have at least one of the codes.

If your office created custom fields for People or Address, you can use the Custom Field & Value fields to locate people records that contain a specific custom field and value. Click in the Custom Field drop-down to display and select from a list of available fields and then type the word or phrase in the Value field.

The Mail Count fields allow you to identify People records that contain a user specified number of mail records entered in the between and and fields. You can also include a date range in the from and to fields to further define the search. Once you have selected the number of records meeting your criteria, you can use the Assign Affiliation action to update the selected records with an affiliation code that identifies them as frequent correspondents.

The Deliverability field allows you to search for People records that contain a mailing address that is confirmed as deliverable (OK), confirmed as deliverable or probable deliverability (P), confirmed as deliverable plus unchecked with zips, unknown or not checked by address checker (?) or undeliverable (U).
