Viewing the Daily, Weekly, and Monthly Schedule

The IQ Calendar module provides different views for displaying the contents of a selected calendar. These views include the Daily Schedule and the Day, Week and Month views. You can set your IQ user Preference to display the Daily Schedule or the Week View, by default, when you open the Calendar module.

To access the day, week and month views:

  1. Click the Calendar module tab.

  2. Select the Views submenu.

  3. IQ displays the Week view by default. Click the Day or Month button to switch to another views.

To view the monthly schedule:

  1. Click the Calendar module tab and select the Schedule submenu.

  2. Click the month link (i.e. March) in the monthly calendar grid to view events scheduled for the current month. To view events scheduled for another month, select that month on the monthly calendar grid and then click the month (i.e. April) link.

  3. IQ displays the monthly calendar for the selected month. Click an Event link to view all of the event information in the Event Record page.

  4. Click the Print Report button to print the monthly calendar or click the Close button to close the calendar window.

To view the daily schedule:

  1. Click the Calendar module tab.

  2. Select the Schedule submenu. The daily schedule for the default calendar appears for the current date.

  3. Click the Event link to view the complete event record, or click the > link or Page Down button to view additional pages of events.

To view events scheduled for another date in the Daily Schedule, click that date on the monthly calendar grid at the right of the page. The current date, the selected date, and dates with events scheduled are shaded on the monthly calendar. You can also type a date in the Go to Date field and click the Go button to view events scheduled for another date. To return back to the current date, type +0 or -0 in the Go to Date field and then click the Go button, or click the calendar icon next to the Go to Date field and click the blue highlighted date.

You can click the Schedule or Views submenu link to return to the Daily Schedule page or Week view from other areas within the Calendar module.

Daily Schedule Page

For each event, the Daily Schedule page shows the time range, recurring event flag, the event summary, status (Regrets, Canceled, or Tentative), office location, topic codes, notes, attached people and synchronization status. In addition, a paper clip icon appears if an event contains one or more attached files. Clicking the icon will open the attachment if there is only one. For multiple attachments, clicking the paper clip icon will display the Attachments panel of the event record.  

You can customize the display of the Daily Schedule page by selecting columns to Hide or Show. A plus sign (+) appears when you place the mouse cursor above a column heading, if the column can be hidden. Right click and select the column name in the pop-up to hide the column. To display the column, right click in a column heading and a list of hidden columns will appear. Select the checkbox for the column names that you would like to display and click the Show button. Generally, the checkbox, number and ID columns can not be hidden. Your settings for hidden columns will remain until you change them.

Events for a single date sort by start time, end time, and event ID. Events with no start times appear before events with start times; events with no end times appear before events with end times. Events with the same start time, but with different time zones will sort based on the time zone. So, for example, an event that starts at 2pm Eastern Standard Time will sort before an event with the start time of 2pm Central Standard Time. The number of characters that appear in the Event column depends on your user Preferences. When the number of characters exceeds your preference limit, this information is truncated with ....(more). You must click the event link to view all the information. You can also control the number of events that appear on each Daily Schedule page through preferences. The Summary and Status information for major events appear in bold.

Click a date in the calendar at the right of the page to view events for another date or type a date in the Go to Date field. If you want to open an event record on this page, click the summary link in the Event column. You can perform actions for multiple events that appear on this page. Select the check box next to one or more records (or click the Select All link to select all events), and then select an action for those records. Actions that apply to records on this page are unavailable until you select at least one record. Actions for multiple records include adding topic codes, adding events to other calendars, adding or changing office locations, copying, editing, printing, deleting, and synchronizing events.

Use the scroll bar, the PAGE DOWN key, the TAB key, or the DOWN ARROW key to move to the bottom of the page. Click the > link to view the next page or the < link to view the previous page. To go to the end of the schedule, click the >> link; to return to the beginning of the schedule, click the << link. Links are unavailable if there are no additional pages or if you’re at the end or beginning of the list.

Day, Week and Month Views

The Day, Week and Month views can be accessed by selecting the Views submenu in the IQ Calendar module. These views display color-coded events based on the IQ Event Status Codes: Green for APPROVED Red for CANCELED and REGRET, Yellow for TENTATIVE. Events with the status of REMINDER are displayed without any color. Events with a non-standard Status Code are displayed with Blue. Navigation buttons < and > allow you to view the previous and next day, week or month. The current day is highlighted with a light orange background. Events which span more than one day are displayed in the all-day section at the top of the Day and Week views. Recurring events contain a circle icon with two arrows in the upper left hand corner. You can access an existing event record by clicking the event bar. To add a new event, select the Add Event action or click on a time slot in the Day and Week view or a day in the Month view.
