Finding E-Mail Campaigns

If your office receives incoming e-mail into your IQ system, you can use the Find E-Mail Campaigns action to identify and process mail records that have similar incoming e-mail message text. Similar means that some percentage of the case-insensitive sentences are shared. The Find E-Mail Campaigns dialog allows you to select the common language level between 30 and 90 percent. The lower the percentage, the less language that has to be in common and thus fewer possible campaigns.

To optimize the results of the Find E-Mail Campaigns action, it is recommended that you search for the mail records based on a key word or phrase in the incoming e-mail text. For example, your office may receive a large volume of e-mails about a particular issue and within those may be groups of people that are either for or against that issue. You can then use Find E-Mail Campaigns to locate the specific groups. In addition, you can capture the common text from a Campaign Group and use it to create a new IMA Rule or update an existing rule so that future incoming e-mails (with the same message text) can be processed automatically by IQ.

Note: You can reduce the length of time it takes IQ to search for e-mail campaigns by setting campaign search rules prior to running Find E-Mail Campaigns.

To find E-Mail Campaigns for Mail records:

  1. Click the Mail module tab to go to the Quick Search page for mail records.  

  2. Click the Advanced link next to the GO button or select the Advanced Search action to display the Advanced Search page.

  3. Check Incoming Attachment for the Search Text in field and type the word or words in the for field.

  4. Select the user, users or groups in the Assigned to Users/Groups field if you would like to limit the search results to a specific user.

  5. Click the GO button to begin the search.

  6. Click the Select All link to select all of the records in the search results.

  7. Select the Find E-Mail Campaigns action to display the Find E-Mail Campaigns dialog.

  8. Click the Search button to search for e-mail campaigns using the Common Language default level of 70%. IQ displays the number of possible campaigns found as it reviews the selected mail records.

  9. Click the Save and Explore button to save and close the search results dialog. IQ displays this list of campaigns in a bar chart with a green check mark next to the selected campaign. The contents of the selected campaign appear to the right of the bar chart.

  10. Select one of the following options for the selected campaign:

Note: The Find E-Mail Campaigns action can also be used to search for possible e-mail campaigns in all of your pending mail, without doing a text search first. Simply click the Pending Mail link in the My Work section of the My IQ tab to display a list of all your pending mail. Then click the Select All link to select all of the mail records and select the Find E-Mail Campaigns action. IQ will only search the mail records that have attached incoming e-mails and thus you don't have to filter out the incoming imail records.
