Attaching Outgoing Copy to Mail

You may want to attach a word processing or text document, a scanned image of the outgoing letter, or other type of file to a Mail record for future reference. For example, if a hand written note was added to a printed letter, you could scan a copy of the letter and attach it to the Mail record for a historical record of the hand written note. Files can be attached to a closed Mail record, if your IQ user-ID has been granted access rights to reopen a closed Mail record.

To scan and attach an outgoing copy to a mail record:

  1. Add mail or go to an existing mail record.

  2. Click the scanner icon next to the Outgoing Copy field located at the bottom of the Outgoing section. IQ displays the Scanning for Outgoing dialog with the following options:.

IQ automatically assigns a numeric name to the scanned file. To view the file, click the file name in the Outgoing Copy field. IQ opens the file in a separate window. To detach the file, click the x located to the right of the file name. IQ displays a message to confirm you want to detach the file.

To manually attach a previously scanned outgoing copy to a mail record:

  1. Add mail or go to an existing mail record.

  2. Click the paper icon next to the Outgoing Copy field located at the bottom of the Outgoing section. IQ displays the Attach Outgoing File dialog.

  3. Click the Browse button. IQ displays the Choose File to Upload dialog.

  4. Highlight the file name you want to attach and click the Open button.

  5. Click the Save button to return back to the mail record. IQ displays the file name in the Outgoing Copy field.

To view the contents of an incoming or outgoing file, click the file name. You can detach a file by clicking the x next to the file name. IQ will ask you to confirm that you really want to detach the file.
