Adding a Board Referral

When individuals refer or recommend applicants for Board membership, you can record this information and link the referring People record to the Board record. You can use the referral information for correspondence. There are three types of Board referrals:

You can record any one of these types using IQ.

To record multiple people making a referral to a Board:

  1. Search for the applicant's Board Member record. The applicant must be assigned to a Board before you can record a referral.

  1. On the Board Member page, select the Add Referral action. Note: This action only appears if a workflow template for Board Referrals has been selected in your IQ System Configuration Settings.

  2. Search for the people making the referral. You can search for individuals by selecting a name option in the Search for field, or you perform an Advanced Search to locate a group of people by clicking the Advanced link. You can also use the Modify Search link on the Search Results page to add records to those already selected. If you selected a record or records found with the first search, that selection is retained as you modify your search criteria and find and select additional records.

  3. After you've selected the check box next to the names of the referrers, click the Add Board Member Referral(s) button at the bottom of the page.

If a record does not exist for the person, click the Add New button to add a People record. On the New Person page, select the Add Board Referral action.

Referrals are recorded on the Referrals panel of the Board Member record with links to each referrer's People record and to the referral workflow (Referral ID). The referral date appears and can be changed. The referral is also recorded on the Boards panel of each referrer's People record. In the People record for the Board member, the referral appears in the Referred By column on the Board Membership listing.

 

To record one or more people making multiple referrals to a Board:

  1. Search for the applicants' Board record. All applicants must be assigned to the same Board.

  2. Click the Seats tab on the Board Record page.

  3. On the Seats panel, select the check box next to the Board members being recommended.

  4. Select the Add Referral(s) action. Note: This action only appears if a workflow template for Board Referrals has been selected in your IQ System Configuration Settings.

  5. Search for the person or people making the referral. You can search for individuals by selecting a name option in the Search for field, or you perform an Advanced Search to locate a group of people by clicking the Advanced link. You can also use the Modify Search link on the Search Results page to add records to those already selected. If you selected a record or records found with the first search, that selection is retained as you modify your search criteria and find and select additional records.

  6. After you've selected the check box next to the names of the referrers, click the Add Board Member Referral(s) button at the bottom of the page.

If a record does not exist for the person, click the Add New button to add a People record. On the New Person page, select the Add Board Referral action.

Referrals are recorded on the Referrals panel of the Board Member record with links to each referrer's People record and to the referral workflow (Referral ID). The referral date appears and can be changed. The referral is also recorded on the Boards panel of each referrer's People record. In the People record for the Board member, the referral appears in the Referred By column on the Board Membership listing.

 

To record a self-referral:

  1. Search for the applicant's Board record.

  2. Select the Add Referral action. Note: This action only appears if a workflow template for Board Referrals has been selected in your IQ System Configuration Settings.

  3. Search for the applicant's People record.

  4. Select the check box next to the record on the Search Results page, and then click the Add Board Member Referral(s) button.

The referral is recorded on the Referrals panel of the Board Member record with links to the referrer's People record and to the referral workflow (Referral ID). Self-referrals are identified with (self) before the referrer's name. The referral date appears and can be changed. The referral is also recorded on the Boards panel of the referrer's People record. In the People record for the Board member, the referral appears in the Referred By column on the Board Membership listing.

When you add a Board referral, a referral workflow is automatically created using the template designated in System Configuration. The workflow is linked to the person making the referral, the person being referred, and the Board. The referred People record is designated as the primary contact. You can send mail to all people associated with the referral workflow from the People panel of the workflow record.

Note: If you choose to send correspondence from the Board referral workflow, you can use form letters that contain Board merge fields. This means you can merge appointment dates, confirmation dates, seat names, and other information pertinent to the Board member’s assignment into the letter.
