Managed Record Page

A Managed Record page exists for each official record in the IQ Archivist module. The Managed Record page contains two tabbed panels: Review Record and Status Log. You can access the Managed Record page by clicking the record ID link in the RM ID column in the Search Results page or the File Plan directory. Note: The fields in the Managed Record page will be grayed out if your IQ user-id is denied access to Security Lock #263.

Review Record Panel

The Review Record panel contains general information about the record such as when it was created, the record type, and disposition date, as well as links to the record content, related IQ database records and other managed records.

ID

The ID is the sequential record ID assigned to the managed record by IQ and cannot be changed.

Created

The date and time that the record was submitted to the IQ Archivist.

Type

The Type field contains the IQ module (such as Workflow) that produced the managed record along with the type of object (Attachment, Outgoing Mail, etc.). This information appears in the Primary Type and Secondary Type columns on the Search Results page.

Name

This field contains the name of the object (such as Workflow Detail.rft) from the source workflow. Click the magnifying glass icon, located to right of the field, to open the contents of the object.

Folder

The Folder field contains the name of the File Plan folder where the managed record is stored and may not be changed.

Disposition Date

The Disposition Date is the date in which the selected action in the Disposition field will automatically occur. If no disposition is specified, no action will occur on the entered date. In this scenario, you could use the Disposition Date as a reminder to review the record and assign a disposition later.

Disposition On Hold

Select this check box if you would like to suspend the disposition. Records that are on hold will not be processed until the hold has been lifted.

Disposition

The Disposition is the action that automatically occurs on the selected Disposition Date. Actions include None, Destroy, Review and Accession to NARA. Select None, if no action should be performed automatically for this record. Select Destroy if you would like IQ to permanently delete this record. Records are deleted by a background job called "Archivist Records Maintenance" which is scheduled to run at 8pm on the first day of each month. When the "Archivist Records Maintenance" job runs, it will delete all Archivist records with a Disposition of Destroy and a Disposition Date before or equal to the last day of the previous month and not coded as ON HOLD. If you would like to review this record at a future date, select Review. Note: The Accession to NARA option is not currently implemented.

Transferred To

This field is not currently implemented in IQ.

Transfer Date

This field is not currently implemented in IQ.

Related IQ Database Records

This section of the Managed Record page contains a link to the source workflow, if it still exists in your IQ database, along with any associated objects. For example, if the managed record is an attachment, then a link to the associated note will appear here. Click the name link to open the contents of the source workflow or associated object in a new window.

Related Managed Records

This section of the Managed Record page contains links to other records that were created from the same source workflow. Click the name link to open the contents of the related records in a new window.

Status Log Panel

The Status Log panel shows a history of action taken on the record, including the action date and time, the user who performed the action, and a description of the action. The history of actions include, but are not limited to, creating the record, changing Disposition Date, Disposition and Hold.
