Searching for Services

The ability to search for Services by various characteristics gives the user much more control, with include and exclude columns, over the data being mined.  Search by Service Characteristics, Primary Contact information, All Attached Contacts, and/or Service Messages. Once the search parameters are determined, the search can be saved and added to the Service Big Menu and readily available for all users.

 

Advanced Search

1.From the Services Big Menu, select Advanced Search from the Find Services column.

Title: If saving this search, give it a meaningful name or leave blank. 
Add to Menu: This action saves the search for future usage in the Services Big Menu.
Start With: All Services, or select another option from the drop-down, including previously saved service lists.
Re-use Recent Search: Displays the last search criteria and loads parameters.

Service Characteristics

Service Type: Select a Type such as Casework.
Service Category: If applicable, select a service category
Service Code: Select a service code
Assigned User(s): Select a user. This will include any inactive users
Assigned Group(s): Groups contain several users, such as Caseworkers. Groups that are in use, will be named and start with the word Group.
Assigned to Member of Group: Enter the Group name.
Opened By: Select the user that it was opened by
Priority: If applicable, select a priority
Service ID: Enter the Service ID number
Search for Text in: Enter text to be searched and place a check mark in the box where you'd like to search.
                    Attachments: Any files attached to the service
                    Comments: The comment section of the service
                    Notes: Any notes that have been added to the Activity section of the service.
                    UDFs: UDFs (User Defined Fields) are custom fields in the service.



Service Action Dates

Date Opened: The date the service was opened
Date Closed: The date the service was closed
Due Date: Enter a due date 
Step Due Date: Enter a Step Due Date if you have a multi-step service
Remind Date: Enter a Remind Date. Revised Date
Re-Opened Date: Enter a re-opened date



Primary Contact

Last Name: Enter last name of the contact
First Name: Enter first name of the contact
Affiliations: Enter any affiliation codes associated with the contact
Age: Enter the age of the contact
Comments: Enter any comments that are in the contacts records
City: Enter City name
State: Enter State name
Zip: Enter the zip code
Congressional District: Enter the congressional district; example: VA10
County: Enter the county
Precinct: If applicable, enter precinct
Title: Enter the title of the contact; example: CEO, Commander ect.
Organization: Enter a organization name; example: Leidos DSI, Department of Justice



All Attached Contacts

Last Name: Enter last name of the contact
First Name: Enter first name of the contact
Affiliations: Enter any affiliation codes associated with the contact
Age: Enter the age of the contact
Comments: Enter any comments that are in the contacts records
City: Enter City name
State: Enter State name
Zip: Enter the zip code
Congressional District: Enter the congressional district; example: VA10
County: Enter the county
Precinct: If applicable, enter precinct
Title: Enter the title of the contact; example: CEO, Commander ect.
Organization: Enter a organization name; example: Leidos DSI, Department of Justice


Service Messages

Outreach Messages: Include or Exclude
Status: Select a status for the Service related message
Assigned User: Select a user that is assigned the message
Date In: Select a date in
Date Out: Select a date out
Issues: Select an issue code associated with the message
Method Out: Select how the message is delivered.
Method In:Select how the message was received.
Form Letter Name Lookup: Select a form letter
Form Letter Text: Enter text the form letter contains
Batch Name Lookup: Select a batch that contains the message
Batch Name Text: Enter the batch name



Message Contact

Last Name: Enter last name of the contact
First Name: Enter first name of the contact
Affiliations: Enter any affiliation codes associated with the contact
Age: Enter the age of the contact
Comments: Enter any comments that are in the contacts records
City: Enter City name
State: Enter State name
Zip: Enter the zip code
Congressional District: Enter the congressional district; example: VA10
County: Enter the county
Precinct: If applicable, enter precinct
Title: Enter the title of the contact; example: CEO, Commander ect.
Organization: Enter a organization name; example: Leidos DSI, Department of Justice

Search Rules

Combine Entries With: Select And or Or option.
Case Sensitive:
Wild-card Character: Use the * (asterisk) as the wild-card
Delimiter Character: Use the comma to separate when searching for a string of text
 

2.Once the parameters have been entered, select the Save and View button. If you'd like to view just the numbers or the size of the list, select List Size button

 

 

Advanced Search by Type

 

1.From the Services Big Menu, select Advanced Search by Type from the Find Services column.

2.Select a service template. All fields will be available to search in Template Name (Casework) Fields section.

3.Once the parameters have been entered, select the Save and View button. If you'd like to view just the numbers or the size of the list, select List Size button.
 

Search

1.From the Services Big Menu, select Search from the Find Services column.

Service is Open: Select Yes or No
Assigned To Users: Select a name(s)
Assigned to Groups: Select a Group. All groups will begin with Group
Once Owned By: Enter a staff name
Type: Select a Type. If you are looking for Casework, select the option from the menu. 
Opened From: Enter a date from which the service was opened 
Opened To: Enter a date from which the service was opened
Closed From: Enter a date from which the service was closed
Closed To: Enter a date from which the service was closed
Due From: Enter a due date
Due To: Enter a due date
Step Due From: If applicable, enter a Step Due date
Step Due To: If applicable, enter a Step Due date
Remind Date From: Enter a Remind Date
Remind Date To: Enter a Remind Date
Updated Date From: Enter a Updated date
Updated Date To: Enter a Updated date
Service Category: Select a service Category
Service Codes: Select a Service Code
Opened By: Select a user from the Open By field
Closed By: Select a user from the Closed By field
Comment, Note, Attachment or Data Field Contains: Enter text to search
Re-Open Date From: Enter a re-open date
Re-Open Date To: Enter a re-open date
Monthly Aging Category: Select a aging days number to view services that are either 30>, 31<60, 61<90, 91<120, or 120<
 

2.Once the parameters have been entered, click the search button.

 

Search by Type

1.From the Services Big Menu, select Search by Type from the Find Services column.

2.Select a service template. All fields, to include UDF's (User Defined Fields), will be available to search.

3.Once the parameters have been entered, click the search button.
