Fields that require entry of information from a code file are of two types. The first displays an arrow next to the field. When you click in this type of field, a drop-down list box appears.
To select information from a drop-down list box:
click in the field to display the list box, and then click a code in the list to select it and return it to the field; OR
type a letter in the field to enter the first code that begins with that letter. Type the letter again to enter the next code beginning with that letter. When the correct code appears in the field, press the TAB key to move to the next field.
The second type of field has a search icon (magnifying glass) next to it. When you click the search icon, you can select a code from those that appear in one of two types of dialog list boxes.
If the field allows entry of only one code (for example, prefix, assigned to), a list of all possible codes appears when you click the search icon. When you click a code in the list, it is automatically entered in the field. Use the scroll bar to search for a code, or type a letter to go to and highlight the first code beginning with that letter. Type the letter again to go to the next code beginning with that letter. When the code you want is highlighted, click it or click the Save button to enter it in the field.
If the field allows multiple entries (for example affiliation or issue codes), a list of all Available codes appears on the left side (or top) of a dialog box. Use the scroll bar to search for and highlight a code or type a letter to highlight the first code beginning with that letter. Then click the Add button or press the ENTER key to move it to the Selected field. Select additional codes in the same way. When you're finished selecting codes, click the Save button.
Note that the Available and Selected fields appear either side-by-side or on top of one another, depending on your System Configuration setting. The option to display these fields on top of one another allows for wider fields and the display of more information for offices with long codes or translations.
