About Workflow

Completing a task such as handling a case or processing a request can require that an office perform multiple actions. It's useful to be able to keep track of which actions have been performed, which need to be performed, and who is responsible for performing the actions. Intranet Quorum’s workflow module lets you handle complex tasks. It uses templates¾predetermined sets of steps and actions—to guide you through a workflow task.

Over an extended period of time, you may work on multiple cases or requests for an individual. You can attach an unlimited number of workflow records to a People record. You can even track multiple requests from one individual at the same time.

You can create workflow from within a People record or independent of a People record. You can access your open workflow from My Work, or you can search for any open or closed workflow from the Workflow module. From a People record, you can view workflow for that person by clicking the Workflow tab. Click a Workflow ID link to open the workflow record and view complete workflow information.

Steps and Actions

Workflow divides multi-part tasks into steps and actions. A step is a group of actions that are normally performed by the same person. The number and function of steps is determined by the workflow template that was used to create the workflow. Some workflow templates have just one step, and some include multiple steps. The number of steps depends on the nature of the task that the template is used for. Templates are set up so that certain conditions, or rules, must be met before a step can be completed.

Routing and Ownership

Workflow tasks are routed (queued) to one or more users, or to a pre-defined group of users. The first user to open a queued workflow is given the opportunity to acquire ownership of it. If he does, the workflow task is assigned to him; if he doesn't it remains queued.

If the workflow includes only one step, the owner must complete the step before closing the workflow. If the workflow includes multiple steps, the owner must complete the step before routing the workflow to someone else for the next step. Only when the last step is completed can the owner close the workflow.
