Opinion Tracking

You can use Opinion Sets to log in phone call opinions on issues and automatically create People and Mail records for the caller. IQ also allows you to record opinions for callers that do not wish to provide their name and address. All Sets with a source of Opinion are assigned an incoming method of Opinion and can be accessed from the Add Opinion action on the Sets search page.

To log phone call opinions:

  1. Create a Set with a source of Opinion.

  2. Click the People tab and click the Sets submenu link.

  3. Select the Add Opinion action.

  4. The Add to Set field automatically defaults to the first opinion set in the list. If you do not want to use this set, click in this field and select another set from the list. IQ will automatically update the Comments, Description, Affiliation, Issues, Assigned To, Letter Name and Out Method based on what was entered in the Set Definition page for the selected Set.

  5. Enter any additional information in the fields on the New Opinion page that was not automatically entered by IQ from the selected Opinion Set.

  6. Type the caller's full or partial name and address information in the Name and Address label field. To search by phone number, enter the number proceeded by p: (i.e. p:7032060030). You may leave the Name and Address label empty to record an anonymous opinion. Note that all anonymous opinions are added to a single People record with the last name Anonymous.

  7. Click the Go button. An automatic search is done, and any exact matches appear below the Out Method field. If there are no exact matches, other possible matches may appear.

Click the New button if none of the records match the one you're searching for and you want to create a new People record from the name and address information you entered in the label.

Click the Add button if the record matches the one that you're searching for.

Click the Edit button if the record matches the one that you're searching for and you want to add additional information such as a phone number to the existing record.

Click the Household button next to a record of another individual at the same address as the one you searched for. This lets you link your new People record to an existing household.

  1. Select the Add Another action if you would like to enter another opinion or select Save and Close if you have entered the last call.

New Opinion Page

The New Opinion page allows you to easily and quickly track opinions of people that contact your office by fax, phone, etc. by recording their name, address and comments. In addition, you can select the appropriate Issue, Letter Name and Outgoing Method to be used for the response.

Name and Address

Type the caller’s name and address information if provided. Leave this blank to record anonymous opinions.

Comments

Enter any additional comments to be included in the Mail record that is created when the set record is posted. Displayed below this field are the "default" comments that were entered in the Set Definition for the selected Opinion Set. Select the check box to the right of the "default" comments if you would like IQ to append the Set Definition comments to the comments you entered in this field.

Add to Set

Select the Opinion Set to which this record should be added.

Description

The description of the set appears when you select a set from the Add to Set field, if one was entered in the Set Definition.

Affiliation

You can select additional affiliation codes or remove ones that were entered by IQ from the Set Definition if they do not apply to the record.

Issues

You can select additional affiliation codes or remove ones that were entered by IQ from the Set Definition if they do not apply to the record.

Assigned To

Select the user that the Mail record should be assigned to. IQ automatically enters the user that was selected in the Set Definition.

Letter Name

The letter that should be sent in response to the caller's opinion. If one was not selected in the Set Definition, click the lookup icon and select one from the list of available letters or leave it blank.

Out Method

Determines the outgoing method, if any, for the mail record created to record the opinion. This will default to the Out Method selected in the Set Definition but can be reset as each opinion record is added.
