Adding a Person to a Household

When you want to add a new People record with the same address as an existing record in your database, you can add the new record to the existing household. This eliminates having to retype the address information and also links the two records together as members of the same household. There are two ways to add a person to an existing household: from the New Person page and from the Search Results page when searching for a record.

To add a new People record to an existing household from the New Person page:

  1. Click the People tab and select the Find/Add Person action.

  2. Type the name and address information in the Name and Address label field. Type partial information (First Last) or type the entire name and address as you would type it on a label, with the name on the first line, the address on the second, and the city, state and ZIP Code on the third. See help information below the label regarding entry of title, organization, and additional fields.

  3. Click the GO button after you've typed the name and address in the label field. An automatic duplicate search is done, and if there are any matches to the address you entered, they will appear below the label.

  4. Click the Household button next to a record of another individual at the same address as the one you've entered. The new record appears on the Add to Household page with the same address information as the record you selected. The name of the new household member appears in the Name fields.

  1. Select an action for the record you've added.

To save the new record, select the Save and Close action.

To save the new record and add another People record, select the Add Another action.

To log in mail for this person, select the Log in Mail action.

To create mail for this person, select the Add Mail action.

To exit without saving the information, select the Close action.

 

To add a new People record to an existing household from the Search Results page:

  1. Search for the person you want to add. Often you'll see another person at the same address when you're doing a People search.

  2. On the Search Results page, click the name link to go to the record of the existing member of a household.

  3. Select the Add to Household action.

  4. Type the full name in the Name field, including the prefix and suffix or appellation information, and click the Save button. The record is added and displayed on the Relations panel. You can open the People record of any household member from that panel by clicking their name link.

  5. Select the Close action to close the record.

The address for the new record will be identical to the address of the record to which you householded it. You can change the address if you want—for example, to record a temporary address for a student but keep them as a member of their parents' household.
